12 Month Clerk - Special Services40 hours per weekPermanent 12-month positionStatement of Duties: The Clerk is responsible for performing multifaceted administrative and clerical duties in support of the Special Services Department. The employee is required to perform all similar or related duties.-Monitoring entry of all persons entering the Central Office building. Coordinate IEP Compliance-Coordinate IEP compliance, including tracking dates, completion of IEP process, maintaining web-based files, maintaining paper files, sending and resending for signatures, monitoring responses, documenting acceptance/rejection process, notifying DESE and/or Evaluation Team Leaders, etc.Operate and Maintain Web Based Student Management System- Troubleshooting and assisting teachers/staff within the school system; entering faculty/staff changes, assigning roles and access to the system; maintaining accuracy of all student information. Access as system administrator.Manage calendar for Administrators of Special ServicesCoordinate staff supervision/evaluation appointments and paperwork for Administrators.-Schedule observations, track necessary signatures, maintaining records.Assist with Data Collection for State Reports/Audits/Grants, etc.-SIMS Report, Schedule 11, October 1, ETLs State Indicators (7,14, etc.)Professional Development Activities for Special Services Staff-Working with Administrator assisting in organization, correspondence with presenters, TeachPoint application, meeting space availability, appropriate equipment coordination, ensuring Business Office has necessary information to award PDPs and PTPs.Data Collection for Quarterly Medicaid Student RegisterAssist Administrators of Special Service with correspondence-Prepare and maintain administrative correspondence as necessary.-Maintaining correspondence file, authorized to maintain routine correspondence-Open, sort, date and distribute daily administrative and departmental mail.

Coordinate Human Resource Activities-Collecting application for all open Special Education positions, via access to School Spring.-Coordinate all necessary paperwork on new personnel and the interview process with Business Office/schools and principals.-Facilitating letter notification process at the start of the summer/school year for special education assignments.Complete special projects and other duties as assigned by Administrators.Education and Experience: High School Diploma or equivalent with one to three (1-3) years related work experience required; Associates degree and/or any or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the administrative assistant position preferred.Salary: Per the Unit C contract, classification S7
