Under the general direction of the Assistant Controller, the Accounting Associate I is responsible for preparing various reports and analyses, bank and leder account reconciliations reconciliations, journal entries, budget revisions, and interdepartmental transfers; processes student refund and accounts payable checks; assists in the quarterly and annual closing process; and provides the Accounting Associate II, Associate Director of Accounting and the Assistant Controller with necessary support to ensure the effective operation of the Accounting Office.

Responsibilities

  • Prepares and processes general ledger journal entries, budget revisions, interdepartmental transfers, and departmental charges.
  • Monitors daily bank activity and prepares journal entries and necessary adjustments accordingly. Identifies and reports to supervisor any suspicious banking activity that may be fraudulent. Researches all bank activity and gathers necessary back-up documentation.
  • Performs high volume, critical bank reconciliations which directly impact College's financial operations. Prepares necessary journal entries and adjustments. Provides accountability for outstanding items and resolves outstanding issues in a timely manner.
  • Prepares monthly reconciliation of various ledger liability and asset accounts. Identifies and researches discrepancies accordingly.
  • Responsible for preparing various reports, analyzing financial data, and monitoring general ledger accounts. Identifies and resolves variances in a timely manner. Contacts departments to resolve discrepancies. Processes journal entries and necessary adjustments.
  • Reviews the College's weekly accounts payable checks for accuracy with source documentation and mails checks to vendors by deadline. Identifies any discrepancies and resolves with appropriate business office personnel.
  • Provides assistance to College employees in handling various financial operating issues, including the training and navigating of the College’s ERP self-service portal.
  • Processes void/stop payment checks when informed of an issue and prepares necessary entries and related actions.
  • Completes journal entries, analyses, and reports for quarterly and annual closing process. Prepares yearly audit workpapers and provides auditors with requested general ledger information.

Qualifications

  • Bachelor’s degree in accounting or related field required.
  • 1-3 years of work-related experience required.
