IT Vendor Management Analyst
Overview
We are seeking a skilled and detail-oriented IT Vendor Management Analyst to join our team. The ideal candidate will have an understanding of business processes associated with a heavily outsourced technology organization – contract execution, software purchases and renewals, purchase orders and software license management. This role will be responsible for overseeing software license and renewal management, facilitating IT contracts, issuing IT purchase orders and other projects as assigned. They will work closely with various IT departments, accounting departments and technology domain leaders to support our organization's IT objectives and ensure compliance with corporate processes while maintaining top level confidentiality.
Responsibilities:
- Responsible for overseeing software license and renewal management, including working with infrastructure team to maintain asset information in Service Now.
- Work closely with the financial team on monthly software reconciliation and verification of accounting for purchases and renewals.
- Work closely with Head of Technology Business Management, team members, vendors and IT domain heads on contract execution including managing information in contracts management system, and facilitating final signatures of contracts.
- Issue and monitor purchase orders for approved contracts and invoices and track PO spend against planned dollars. Requires working closely with the Accounts Payable department. Support vendors’ inquiries on purchase orders, invoices and payments.
- Provide consistent and timely support to all IT departments for proactive management of software licenses, purchase orders and contract execution status and also assisting with inquiries, research and special projects as defined.
Requirements:
- Bachelor's degree in information technology, business administration, accounting or a related field, or equivalent experience.
- Minimum of 3 years of related experience.
- Strong understanding of procurement processes and software licensing models.
- Excellent analytical and problem-solving skills, with the ability to identify opportunities for improvement.
- Strong communication and interpersonal skills, with the ability to build and maintain effective relationships with internal stakeholders and external vendors.
- Detail-oriented approach with a focus on accuracy and quality.
- Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities and deadlines effectively.
- Proficiency in Excel is mandatory. Experience with contract management software tools, Lawson or similar financial software, and Onbase document management software is a plus.
