Pikes Peak State College is located at the foot of Pikes Peak in Colorado Springs, Colorado. PPSC offers broad programs in transfer, occupational, and preparatory subjects emphasizing student and community needs. Colorado Springs is a great city to both work and live. This position is located at the Pikes Peak State Centennial Campus.

Description of Job

JOB DUTIES: Your application must provide a detailed description of your relevant work experience in relation to the following duties: This position provides administrative support to faculty, staff, students, and high school counselors with all aspects of the registration process for the Career Start program, Concurrent Enrollment, High School Articulation, and Pivot our dropout recovery program.

Duties include:
Career Start & High School Articulation -support daily operation of Career Start program which hosts students on the Centennial Campus M-F from 9-11 :40a, August through May. Order and maintain inventory of classroom sets of textbooks. Process HS Articulation course review requests. Process students' applications for articulated credit (review HS transcripts, CTE Gateway, articulation fliers, transcribe PLA to students' college transcripts, communicate with students when more information is needed). Create and maintain articulation fliers. Build Career Start courses. Register Career Start students. Communicate program requirements to partners and families. Create, maintain, and post to HSP website Career Start fliers. Position creates, manages and maintains multiple databases for Career Start and HS Articulation. Maintains partner contact information. Communicates with partners via HSP email re. collaboration events and partner meetings. Position compiles instructor budget requests for the following school year and make recommendations to the Associate Dean for decision making.

Concurrent Enrollment/Campus Pathways & Pivot - supports the building of college classes on high school campuses, registers students for 300+ sections of high school hosted college classes, processes billing for 18+ school districts and independent charter schools, supports resolution of COF errors, codes and flags more than 3,000 students in fall and spring semesters, maintains a database to track all necessary information for course builds, maintains updated partner information on HSP website, interacts with financial services to resolve billing concerns, coordinates classrooms for CE orientations, creates and hangs signage for special events. Maintains database for CE MOUs. Maintains partner contact information databases.

Other Duties as Assigned - provides ongoing support to the assistant dean, associate dean, and two assistant directors with tasks as needed such as reviewing spreadsheets of student information for coding errors; works in cooperation with another Administrative Assistant II on large projects such as annual budget requests and reviews; assigns tasks to the four work study student staffers when appropriate.

Position utilizes various software programs to maintain records effectively and efficiently. Microsoft Office Word for all word processing; Access to create and maintain databases for student information, mailing lists, etc.; Excel to update spreadsheets; and Outlook for emails and appointments. Banner; and Imaging software to accomplish work assignments. Utilizes state financial system for budget inquiries, purchase requisitions, and student and financial data; and Banner INB for entering and viewing student information.

MINIMUM QUALIFICATIONS:
Two years of general clerical experience utilizing Microsoft Office Word, Excel and Outlook. Your application must be completed in detail documenting your clerical and Microsoft Office experience. Candidate must have experience providing customer service and interfacing with a variety of people from many levels within an organization and community. Application must clearly detail the extent of these qualifications. (Part-time experience will be pro-rated).

Education:
College, University or non-correspondence business school course work from an accredited institution may substitute for the general clerical experience on a year-for-year basis. (30 semester hours equals one year) However, there is no substitution for the Microsoft Office experience. You must submit a copy of your unofficial transcripts with your application by the closing date in order to be considered. Redact your personal identifying information on your transcript.

Applicants who wish to qualify based on education completed outside the United States must be deemed equivalent to higher education programs of U.S. institutions by an organization that specializes in the interpretation of foreign educational credentials. PREFERRED REQUIREMENTS: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following experience: Experience working with a student information system such as BANNER or similar system. Proficient in utilizing Microsoft Office Software including Word, Excel, and Outlook, and SharePoint; Experience with Navigate, experience working with scanning/coping equipment; experience working in a fast paced, customer service and data entry environment; and interpersonal, written and oral communication skills. Experience in a higher education institution as a clerical or administrative assistant. Daily interaction with students, faculty and staff requires that this position have strong interpersonal, communication and organizational skills. Strong time management and organizational skills; critical thinking skills. Ability to deal with a diverse population with discretion and tact. Working knowledge of High School Programs. Experience with Infinite Campus or similar student management program.

CONDITIONS OF EMPLOYMENT: Must submit to and successfully complete a pre-employment background check as a condition of hire.
