The duties of the Administrative Assistant will be to assist the Environmental Transportation Director/PM when it comes to data entry/collection, training, onboarding/offboarding, and scheduling.
Responsibilities:
Data Entry/Invoicing
- Scanning manifests daily
- Verifying Daily Work Orders from the previous workday
- Entering, collecting and filing data as required
Training
- Assist with ensuring all employees' training is complete and up-to-date
- Notify employees on what training needs to be completed or is about to expire
- Ensure all required site-specific training is completed by the employee and up-to-date
Onboarding
- Assist with onboarding and offboarding employees
Scheduling
Assist the Operations Coordinator (Dispatcher)
- Be able to navigate the systems used to schedule and create daily work orders
- Scheduling of equipment and employees when the Operations Coordinator is not available
- Create daily work orders
- Notify employees of what their schedule is for the following day
- Coordinate with the Shop Foreman on equipment status.
- All other duties as assigned
Requirements:
- High School Diploma or equivalent
- Proficiency in Microsoft Office Suite and other productivity software
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment
- Strong organizational skills and ability to prioritize tasks effectively
