Summary:
Performs administrative and general office duties. Often works independently with only general instructions on a wide variety of administrative duties and special projects (i.e. coordinating schedules/calendars, making travel arrangements, maintaining files, preparing special/various reports, providing customer service to people within and outside of the department/organization, etc).

Primary Duties:
  • Understands the company’s vision, mission, and strategy; understands business unit objectives and sets/accomplishes individual performance goals accordingly.
  • Answers the telephone, takes messages, responds to questions, and directs callers to the appropriate parties. Prioritizes and resolves inquiries (over the phone, via email, and in person).
  • Types letters, memos, and reports from drafts and proofreads and reviews documents for grammatical and numerical errors. Takes and prepares notes of meetings, conferences, and similar proceedings.
  • Prepares presentations, reports, and other documents using word processing, spreadsheet, and presentation software packages.
  • Coordinates resources, such as people, meetings, appointments, rooms, equipment, and travel as needed. Acts as a liaison between the department and external groups, as appropriate.
  • Provides on-going department-specific project support, including research and analysis.
  • Arranges travel and manages expenses for the Regional Vice President (RVP).
  • Creates PowerPoint decks.
  • Uses Navan for travel arrangements or similar expense software
  • Supports meeting arrangements for RVP meetings with GMs, including arranging hotels, lunches, dinners, etc.
What we’re looking for:
  • HS Diploma or equivalent required. AS / BA / BS or Masters a plus.
  • 2-5+ years of experience in related area of responsibility preferred.
  • Strong administrative support skills.
  • Basic understanding of business.
  • Excellent organizational and prioritization skills.
  • Ability to multi-task efficiently, detailed oriented and flexible.
  • Must display a consistent, professional degree of communication skills in person, on phone, by e-mail and letter.
  • Must demonstrate initiative and be willing to follow through on tasks.
  • Ability to maintain confidentiality at all times.
  • Excellent proficiency in Microsoft Outlook, Word, Excel, PowerPoint and other computer software as required.
