Job Description

The Administrative Assistant provides comprehensive administrative support to multiple executives, primarily AVP’s and VP’s unless additional support is needed by other senior leaders, ensuring smooth daily operations and efficient management of schedules, coordinating meetings and other administrative duties. The Administrative Assistant is responsible for thorough and organized work while efficiently managing senior leaders’ multiple priorities.

What you will do here:

Calendar Management Support: Manage and coordinate schedules including meetings, appointments, and travel arrangements for assigned leaders ensuring the use of leaders' time is optimized. Prepare briefing materials and make sure timely follow-up on action items.

Communication: Act as a point of contact for internal and external communications. Screen and prioritize emails, phone calls, and other correspondence. Draft, proofread, and edit documents and communications.

Meeting Coordination: Organize and prepare for meetings including scheduling, agenda preparation, and document distribution. Coordinate logistics for meetings and events, both on-site and off-site. Serve as a point of contact for all meeting attendees, as needed, ensuring a welcoming environment for all including but not limited to internal, external, and potential clients.

Document Preparation: Produce meeting agendas, minutes, and other administrative documents. Format and proofread presentations, reports, and correspondence. Maintain electronic and physical filing systems, ensuring easy retrieval and confidentiality.

General Administrative Tasks: Develop and maintain office workflow and communication including phone management, e-mail correspondence, expense reconciliation and provide customer service to internal and external stakeholders. Handle day-to-day office tasks such as ordering office supplies and managing inventory.

Executive Administrative Support: Provide backup support to the Senior Executive Assistant when required. Assist in managing tasks and responsibilities ensuring continuity of administrative functions. Assist in special projects and event planning initiatives as directed by Senior Executive Assistants

Perform other job-related duties as assigned.

What you will need:

High School Diploma or GED required.

Associate's Degree in Business Administration, Management, Communication or related field preferred.

3+ years of administrative experience required.

1+ years of experience supporting senior management or executives required.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software required.

Strong organizational, attention to detail and multitasking abilities required.

Good written and verbal communication skills required.

Ability to maintain confidentiality and exercise discretion required.

Detail-oriented with strong problem-solving skills required.

Proactive and able to work independently with minimal supervision required.

Adaptable to changing priorities and able to handle multiple tasks simultaneously required.

Professional demeanor with strong interpersonal skills required.
