Carolina Chillers, LLC specializes in HVAC service, controls, installation, maintenance agreements, parts, equipment, and equipment relocations, as well as complete system evaluations to determine building and facility efficiency. We are a licensed, full service mechanical contractor for all types of mechanical equipment including air handlers, cooling towers, motors, pumps, valves, controls, variable frequency drives, data room HVAC, and chillers. Our customer base consists of commercial, medical, and industrial facilities and applications. Position Summary

Administrative Assistant will be responsible to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our managers and teammates, assisting with daily office needs, managing our company’s general administrative activities and social media activity.

This position works together with the department leaders to provide support to the entire organization.


Essential Position Responsibilities

  • Provides administrative support to ensure efficient operation of the office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • During Meetings, take detailed Meeting Minutes and distributes to all attendees afterwards.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains a clean and orderly office environment daily.

Education and Training Requirements
(licenses, programs or certificates)

  • High School Diploma or GED
  • 2 years minimum of administrative experience preferred

Experience and Knowledge Requirements

  • Intermediate level of computer literacy
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat

Travel Required

  • No travel required

Physical Requirements

  • The position requires the candidate to regularly lift and / or move up to 10 lbs., frequently lift and / or move up to 50 lbs. occasionally
