Job Description

Administrative Assistant
Cetechs, a Small Business, is seeking a Administrative Assistant to join our team of professionals under the leadership of our Program Manager.
Duties and Responsibilities
  • Prepares, analyzes, and assists in administrative support to staff and management in various clerical duties.
  • Conducts special analyses, reports, inquiries, and evaluations regarding administrative matters using CORMIS, Microsoft Suite (i.e., Access, Excel, Word) and other methods. 
  • Prepare oral and written reports and presentations that communicate ideas clearly, concisely and effectively.  
  • Maintains evaluations and studies related to administrative matters
  • Maintain confinement records, Disciplinary and Adjustment proceedings, case files and logbook records for disposition.
  • Serve as the on-site Command Pay and Personnel Administrator (CPPA), acting as a trusted representative of PAYPERS for inmates at the facility. 
  • Proposes substantial improvements to work processes, organizational structure, records management, administrative procedures and operational guidelines. 
  • Provides administrative and management guidance to managers, supervisors, and employees regarding training, supplies, telecommunications, and overall logistics support 
  • Establish, manage, utilize, and preserve inmate records in accordance with SECNAV 1640.9D guidelines for transfer or disposition. 
  • Contribute to the preparation and evaluation of documentation for various correctional audits and inspections, including the American Correctional Association (ACA) audit, Prison Rape Elimination Act (PREA) review, Operational Readiness Inspection (ORI), and Inspector General (IG) assessments.
Education, Experience, and Skills Required
  • Must have high school diploma or GED equivalent
  • 2-year undergraduate degree in Business Management (desired)
  • Must be US Citizen
  • Minimum two (2) years of general experience; shall include specialized analytical and programmatic experience in business, management, stakeholder communication and other relevant areas
  • Strong Oral and Written Communication Skills
  • Ability to use computer to access and retrieve data and information
  • Experience with Adobe, Microsoft suite (i.e., Word, Excel, and Access).
  • Ability to handle sensitive information
  • Experience in correctional facilities is a plus
  • Extensive experience with handling MOUs/IAAs, to include staffing, developing, routing, verifying correct information.
  • Experience with querying/formatting/interpreting reports from the Department of Treasury Administrative Resource Center OBI & G Invoice & HR systems interface.
  • Experience working with computer generated reports and extracting data from databases to develop and generate information and summary data to support such activities as technical evaluations, management and financial record keeping.
Knowledge
  • Knowledge of Federal Purchase Card process and regulations
  • Knowledge of Federal Travel procedures and with the Defense Travel System
Physical Requirements
  • Ability to sit for extended periods
  • Capable of lifting and moving up to 15 pounds
  • Visual acuity to work with detailed information on computer screens
Work Environment
  • Professional office setting within a correctional facility
  • May require occasional travel (1-3 days per quarter)
  • Some telework may be authorized; remote work is not permitted
Security Clearance
  • Must be able to pass a thorough background check
  • May require obtaining and maintaining a security clearance (level to be determined)
