Job Description

JOB SUMMARY

This position is responsible for providing quality clerical support, database management, receptionist duties and performing related tasks, when assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides clerical support to Director and HUD staff, including preparation of correspondence, faxing, filing, collating materials.
  • Establish and maintain filing system.
  • Perform database entry; generate reports.
  • QuickBooks entry/reports
  • Create needed materials (i.e., forms, informational packets)
  • Professionally administer all incoming calls
  • Answer the telephone and direct the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
  • Greet and direct visitors to the company in a professional, friendly, hospitable manner.
  • Take and retrieve messages for various personnel.
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.

Knowledge, Skills and Abilities

This position requires the incumbent to have a minimum of one year of clerical experience.

Must be proficient in:

  • Using a personal computer
  • Microsoft Word, Excel, Access software
  • QuickBooks
  • Handling multiple tasks simultaneously
  • Excellent oral and written communications skills, including use of professional grammar.
  • Ability to maintain total confidentiality.
  • Problem-solving, displaying initiative.
  • Time Management: the ability to organize and manage multiple priorities.
  • Strong customer orientation
  • Database systems and be able to input and retrieve data.
  • Exceptional interpersonal communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given

EDUCATIONAL REQUIREMENTS

High School Diploma or GED- any combination of education and experience that demonstrates the knowledge and ability to perform the work.

EXPERIENCE

1+ year of customer service experience, 1+ year of administrative and clerical experience, knowledge of computers and relevant software applications, knowledge of customer service principles and practices, keyboard skills

PHYSICAL REQUIREMENTS

Work is performed in an office environment while seated at a desk. Dexterity is used while performing work with a personal computer keyboard, calculator, and other office equipment. Occasionally the employee will be asked to lift objects less than 40 pounds for special events.

Special Requirements

Must have:

  • Current driver’s license issued by state of residence.
  • Current Vehicle Inspection decal
  • Current vehicle insurance
  • Current vehicle registration in state of residence
  • Satisfactory Motor Vehicle Report
  • Must be able to pass a criminal history investigation.
