Job Description

Job Summary:
The Administrative Coordinator is a cross functional position responsible for assisting the General Manager, Finance Division, and Administration Division with a variety of tasks and projects to include routine administrative responsibilities. The ideal candidate is highly self-motivated, professional, and capable of managing the workload and prioritize tasks in a fast-paced environment. This position is eligible for paid time off and health benefits.

Duties & Responsibilities:
  • Schedule Management – Setting up travel, meetings, speaking engagements and other appointments
o Keep General Manager’s Outlook Calendar updated
o Ensure needed materials are prepared for any meetings or special events
o Coordinate travel arrangements for park personnel to include the completion of expense reports for park Senior Leadership team
o Coordinate and update the Sr. Park Management Schedule and Duty Manager calendar for park to include assigning Director on Duty shifts for park
o Meeting Room scheduling and food coordination when required
  • Communication Liaison – Manage flow of information for internal and external distribution. Written and Verbal correspondence, compiling data for reports, creating PowerPoint presentations, editing and proofreading and other information preparation duties
o Answer incoming calls to the General Manager's Office to include screening calls and taking messages.
o Sort incoming mail. Prioritize and route outgoing items to department mailboxes
o Handle guest concerns, inquiries, compliments and complaints and delegate to appropriate departments for review
o Coordinate and maintain relationships with other Park Leadership and Corporate Management Team
o Maintain memberships of Professional Organizations such as EWI and South Cobb Business Association.
o Sales Force support for Guest Relations and assist the Events & Execution team with in-park events
  • Records Management – Maintaining company records for the General Management Office, Finance and Human Resources. Setting up and managing both electronic and paper filing systems, as well as taking steps to maintain company compliance with all record-keeping requirements
o Maintain the Park President’s filing system to include park contracts and administration
o Administer license renewals and postings for SFOG and SFWW
o Ensuring the Record Retention policy is followed for the GM Office
  • Financial – Partner with General Manager and Finance Manager on park business support needs
o Assist with reporting and analysis preparation and distribution as directed
o Prepare daily operating report the morning following park operation
  • Employee Relations Support – Partner with Human Resources to perform a variety of duties to promote employee welfare and a positive work environment
o Recognizing Birthdays and work anniversaries
o Assist with attendance point entries, preparation and mailing of separation notices, and timesheet management
  • Discretion – Ability to maintain confidentiality and exercise discretion due to nature of the position and being privy to information that must be protected
  • Miscellaneous
o Order and maintain office supplies
o Coordinating with security and welcoming all executive guests to the park
o Assuring office spaces are neat and organized
o Managing charitable donations for SFOG
o Community liaison
o Other duties as assigned

Pay Rate: $17.00/hour


The Ideal Candidate Must Possess:
  • Advanced Microsoft Office skills, to include PowerPoint, Outlook, and Excel with aptitude to become familiar with company-specific programs and software
  • Proficiency in collaboration and ability to multitask on a daily basis
  • The ability to keep work information confidential
  • Initiative, pleasant demeanor and a professional appearance
  • Effective oral and written communication skills to include excellent phone skills to ensure diplomacy and composure is maintained at all times
  • Strong organizational, project management, analytical skills and problem-solving skills with impeccable multi-tasking abilities
  • Ability to work a flexible schedule to include holidays and weekends
