This is an Administrative Secretary position with varied and complex duties:

This position is responsible for intake of all correspondence and documents and insuring that all documents are accurately entered into the investigative and case management system on a daily basis. This position requires great attention to detail, the ability to work independently, and the ability to attain an acceptable rate of accurate production in high volume work environment.

Reviews all correspondence and determines classification for processing.

Ensures all pertinent parties are properly notified.

Accurately enters case information and tracks the daily totals of cases received.

Accurately scans and indexes all documents into the case management system and imaging system in accordance with established policies and procedures.

Verifies the quality and accuracy of all imaged documents, deletes substandard images, and re-scans as necessary.

Researches information stored in the Microfiche System.

Assists with the processing of letters, certified mail, and closing and purging of files as needed.

Maintains a central filing system for investigative reports.

Dockets information into the Investigative and Case Management System (ICMS).

Answers office telephones, prepares mailouts, and copies investigative reports.

Acts as a liasion to public school districts for the electronic filing system.

Accurately retains records internally and with the Florida Department of State, Division of Library and Information Services.

Prepares documents for response to public records requests.

Post final orders to the office website.

Updates office's webpage on the Department's website.

Performs other related duties as assigned.
