Job Description

About the position

  • This is a 40 hr./wk. position
  • Work Schedule: Monday- Friday 7:45 am-5:15 pm
  • Hourly $29 per hour
  • Reports to Executive Director

The Clinic Assistant Manager provides onsite administrative support to physicians. supervising aspects of: patient calendar management, medication orders, billing support, patient/customer services; operational functions; and ensuring regulatory and compliance requirements are met. Responsible for ensuring the delivery of quality care to the patients in accordance with individual needs, physician orders and standards of care, as represented through patient care policies. Partners with Leadership to assure continuous improvement of quality at their assigned site. Leads by example and acts as a role model while creating and sustaining an environment that promotes accountability, teamwork, learning and continuous improvement.

Essential Functions/ Major Responsibilities

OPERATIONS

  • Records and collects payments, deposits, and account payment
  • Obtains records, performs data entry, verifies and updates personal, health, billing, consent and other clinical documentation.
  • Assists in Medical Record maintenance including retrieving and sending to medical offices and individuals as requested and required by state and federal laws
  • Ensures all physicians charts are accurate and completed within 48 hours of appointments
  • Orders medications and supplies in the right amount to reduce outdated medications and eliminate needless inventory stock and storage.
  • Dispenses medications in accordance to Washington Law and DEA requirements for reporting
  • Ensures established inventory standards for all supplies and equipment, maintains adequate stock of items, ensures correct rotation of stock.
  • Coordinates the predictive and preventive maintenance and repair on facilities, systems and equipment
  • IT – Provide liaison with the Executive Director for software upgrades, hardware and EMR updates, reports issues in a timely manner and works to compete with partnerships including 3rd party vendors.
  • Compliance – Ensures clinic compliance with all regulatory agencies governing health care delivery
  • Collaborates with Executive Director to develop, implement, and update policies and procedures related to site facility operations
  • Updates and enforces all areas of clinic compliance (provider licensing, OSHA, HIPAA, Hazardous Waste, Fire law, medical equipment, etc.
  • Supports business and clinical flows that facilitate patient satisfaction and maximize efficiency and provides encouragement and enforcement of clinic flow and guidelines in partnership with Executive Director

OSHA safety management

  • Demonstrates and incorporates principles of safety and infection control into daily activities as outlined in organizations policies/procedures
  • Oversee Biohazardous Waste storage, transport, and disposals within required timeframes
  • Maintains current Material Safety Data Sheets and Hazard Assessment Certificates for all hazardous substances at each clinic site

Patient interactions: :

  • Checks out patients to include addressing any additional patient concerns or needs.
  • Schedules all patients within provider and FP guidelines, exceptions are cleared with Executive Director
  • Answers telephone and triages calls to determine urgency; transfers and/or leaves messages for staff and follows-up on telephone inquiries; directs callers to other providers, staff or departments when appropriate.
  • Maintain accurate patient charts and ensure strict confidentiality in regards to patient accounts
  • Room patients, take basic vitals and process blood sample paperwork and processing according to policy

Patient Satisfaction

This position is a key contributor to patient satisfaction initiatives with the Full Potential Clinics. This position has a direct effect on patient experience metrics.

  • Resolve patient inquiries or escalate to higher levels for solution
  • Responsible for customer service scores related to patient experience
  • After receiving patient feedback, send out google reviews

Qualifications

  • 2 year of experience in medical office setting
  • Min. of 2 years of management experience
  • 3 year of customer service experience
  • High degree of accuracy and attention to detail
  • Ability to work autonomously, with a high level of accuracy, speed and exhibit a willingness to work with deadlines.
  • Ability to provide service excellence, kindness, and compassion to all patients and other Full Potential HRT Clinic team members
  • Knowledge of OSHA guidelines and standards
  • Excellent time management skills
  • Ability to multitask and prioritize work
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • EHR experience preferred
  • Basic applied math skills, including calculations and conversions
  • Skilled in developing and maintaining professional relationships

Job Type: Full-time

Pay: From $29.00 per hour

Expected hours: 40 per week
