Job Overview
We are seeking a proactive and organized Billing/Administrative Support Specialist to provide backup support in essential office functions within a dynamic, fast-paced environment.

The ideal candidate will have significant experience in invoicing, billing, and customer service, with proficiency in QuickBooks Desktop and electronic data interchange (EDI) systems for processing transactions. Strong communication skills and the ability to multitask effectively are essential for supporting smooth office operations and delivering excellent customer service.

Duties

Invoicing/Billing:

  • Prepare and process invoices and billing transactions.
  • Generate and send invoices using QuickBooks Desktop and customer EDI systems.
  • Handle outgoing order invoicing and perform light collections by following up on outstanding invoices.

Phone/Front Desk Support:

  • Serve as backup for incoming calls, assisting customers with inquiries and routing them as necessary.

Will-Call Orders:

  • Provide backup front desk support for customers coming in to pay and pick up their will-call orders.
  • Handle in-person payments (cash and card) and phone payments.

Customer Service:

  • Deliver exceptional customer service both in-person and over the phone.
  • Address and resolve customer concerns, escalating issues as needed.

Administrative Support:

  • Perform administrative tasks, such as filing, data entry, and maintaining records.
  • Assist and support team members with various office tasks.

Requirements:

  • Strong experience in invoicing is essential, along with proven experience in an administrative or clerical role.
  • Minimum of 2 years of experience with QuickBooks Desktop.
  • Proficiency in Excel, Word, and Outlook.
  • Excellent phone etiquette and customer service skills.
  • Ability to manage multiple tasks efficiently while maintaining attention to detail.
  • Strong organizational skills and the ability to work independently or as part of a team.
  • Bilingual ability is a plus but not mandatory.

Pay: $20.00 - $22.00 per hour
