Job Description

As a Business Support Specialist you will be providing office support and HR support to the Best Buy Health UK organization. Manage the day to day running of the Edinburgh office, support the Dalgety Bay Office (leases, utilities, restocking etc). Assist with various HR programs and initiatives. Function as an “in country” EA resource when required – events, travel planning, offsites, leadership meetings. You will be required to be in the Edinburgh office 1/2 days per week, so being within commuting distance is critical.

Support UK based SNR Director of Human Resources Manager in key responsibility areas: Payroll, HR Administration, UK Benefits, UK Visas, Employee Relations, Compensation, Policies and procedures, Leave of Absence (Maternity, Paternity, Shared Parental) flexible Working Requests. Pension , Payroll exceptions and CW supplier management.

What you'll do

  • Manages the day to day running of the office, supporting events and team meetings. Acts as point of contact for Utilities and Lease management. Ensures the workspace is fit for purpose and managed effectively, largely without management input.
  • Supports devolved UK HR processes: Payroll, Pension and Benefits providing input when required and acting as first point of contact for renewals, revisions and issues for both employees and vendors. In the event of an issue, investigates and recommends solutions.
  • Overall responsibility for VISA applications and maintaining legal VISA status.
  • Acts as HR Administrator for HR processes, particularly within Workday
  • Provides ad-hoc local EA support when required, such as, support to visiting Execs with travel and accommodation requests. Acts as primary contact for Corporate Traveller and approves travel and travel invoices. Approver of UK related invoices in ApprovalMax
  • Acts as relationship manager for Safeguard Global (employer of record for EU based employees).
  • Overall responsibility for ensuring legal Display Screen regulations are adhered to – auditing and providing workplace assessments
  • Mail management and management of main UK office telephone line.
  • Assist with compliance and Audits compiling and providing data as required
Basic Qualifications
  • 5+ years of EA or Office Management experience
  • Be within commuting distance of Edinburgh as you will need to be on site 1/2 days per week
Preferred Qualifications
  • Previous experience managing an office (stock, mail, meeting & greeting, being the main point of contact)
  • Work as an EA, be able to arrange transportation, office events, meetings, and set up for both UK & US employees
  • Previous experience working with HR teams
  • Have experience with benefits, payroll, and pension providers
  • Experience with the full Microsoft Office suite
  • Excellent ability to partner and build relationships
  • Previous experience with UK Visas would be very desirable
  • Ability to be flexible in responding to shifting needs and manage multiple tasks at one time
  • Ability to work across multiple projects with minimal supervision
