Job Description

Position Summary

Reporting to the Chief Financial Officer (CFO), the Business Office Manager is responsible for the operations of the preschool business office functions, and other finance and accounting tasks.

Relationships and Contacts

Within the organization: Initiates and maintains frequent and close working relationships with the Chief Financial Officer and all St. Luke's team members.
Outside the organization: Initiates and maintains frequent and close working relationships with third party vendors, parents of the Child Development Center and St. Luke's clients.
Job Summary

The Business Office Administrator is responsible for managing the financial and administrative operations of the Child Development Center. This role supports the overall mission of the center by ensuring efficient business practices, maintaining accurate financial records, and providing excellent customer service to families and staff.
Key Responsibilities
Financial Management:
  • Oversee billing and collection of tuition and fees.
  • Maintain accurate financial records, including accounts receivable.
  • Prepares and sends out weekly account statements.
2. Administrative Duties:
  • Maintain accurate records of child enrollment and attendance.
  • Support the recruitment and onboarding process for new families.
3. Customer Service:
  • Serve as the primary point of contact for parents and guardians regarding billing, enrollment, and center policies.
  • Address and resolve parent inquiries and concerns in a timely manner.
4. Compliance and Reporting:
  • Ensure compliance with state and federal regulations related to financial and administrative operations.
  • Prepare and submit necessary documentation for licensing and accreditation.
5. Collaboration:
  • Work closely with the Center Director and Assistant Director to support operational needs.
  • Participate in team meetings and contribute to the continuous improvement of center operations.
Qualifications:
  • Associate or bachelor's degree in business administration, finance, or related field preferred.
  • Previous experience in office administration, preferably in a childcare or educational setting.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficient in Microsoft Office Suite and childcare software.
  • Excellent communication and interpersonal skills.

Physical Requirements
  • While performing the duties of this job, the employee will be required to communicate with peers/public, clients and/or vendors
  • Job performance will require the ability to move throughout the building as well as sit or remain stationary for extended periods of time
  • While performing the duties of this job, the employee may be required to talk or hear, sit, stand, walk, reach, climb or balance, stoop, kneel, crouch or crawl, taste, or smell.
  • Ability to move 25 pounds
Other Requirements
Must be able to pass a drug test and have a clear background check.
