Job Title: Office Administrative Team Member

Job Type: Full Time or Part-Time (24 - 40 hours/week)

Job Location: Bloom Mental Health. Outpatient Mental Health Clinic

Job Summary:

The Office Administrative Team member is responsible for creating a warm and welcoming environment for all patients and guests visiting the outpatient mental health clinic. The Receptionist will perform administrative duties, coordinate patient appointments, answer phone calls, and provide excellent customer service.

Job Responsibilities:

  • Greet patients and guests in a friendly and welcoming manner, ensuring they are directed appropriately to the right department/staff.
  • Notify the appropriate staff member of patient arrival.
  • Answer incoming calls and transfer calls, take messages, and provide high-quality customer service.
  • Schedule patient appointments and coordinate with nurse and provider availability.
  • Make outgoing calls to ketamine therapy patients.
  • Efficiently and accurately use office equipment, including printer, copier, and computer.
  • Assist patients in filling out intake packets.
  • Multitask by scheduling appointments, answering in-person patient administrative questions, answering phones and emails on a timely basis.
  • Communicate with billing department as needed.
  • Perform other administrative and clerical duties as assigned by supervisor/management.
  • Keep the office tidy and assist nurses in administrative tasks.
  • Update signage and pamphlets.
  • Sign for deliveries and packages.
  • Other duties as assigned.

Requirements:

  • Excellent communication, organization, and professional skills.
  • Ability to produce data reports, such as measuring the average time it takes for a patient to get in to see us.
  • Strong organizational skills to coordinate patient appointments and provider availability.
  • High school diploma or equivalent.
  • Previous experience in a medical or mental health office setting preferred.
  • Proficient in Microsoft Office Suite.
  • Ability to multitask and prioritize responsibilities.
  • Excellent customer service skills.
  • Ability to work independently and in a team environment.

Working Conditions:

The Office Administrative Team Member will work in a medical office setting with frequent interactions with patients, visitors, and staff members. The position requires sitting or standing for extended periods of time and using a computer and phone for most of the workday.

Schedule:

The schedule for this position is to be determined and will be discussed during the interview process.
