The hours for this position are the following: Monday: 4:30pm-7:00pm & Saturday: 8:00am-2:00pm

JOB TITLE: Part Time - Concierge

SUMMARY: The Concierge is responsible for answering and directing all incoming phone calls to the proper parties, taking and distributing messages; greeting and directing all visitors and residents; originating visitor passes for employees and residents; distributing business and interoffice mail. The Concierge performs various duties for the residents such as work order requests; accepting packages, logging packages and notifying the residents of any package deliveries; making copies and sending fax messages for residents; keeping a key log of the resident’s visitors/contractors room keys. The Concierge performs the daily medical check-in and has a thorough knowledge of emergency procedures and security computer response. The Concierge maintains guest quarter reservations and various records on resident information such as the resident address and phone list and the resident “out of town” list. The Concierge maintains the contractor/vendor log book and badges.

ESSENTIAL DUTIES AND RESPONSIBILITIES: This summarizes the major essential duties and responsibilities regularly performed and normally assigned to this position. May be necessary to assist in the evacuation of residents during emergency situations.

  • Greets and directs all visitors and residents.
  • Answers incoming telephone calls, directs calls to proper parties, takes and distributes messages, and sorts and distributes mail.
  • Performs various duties for residents (including but not limited to): work order requests; accepting packages, logging packages, and notifying residents of deliveries; making copies, sending and receiving fax messages.
  • Performs the daily medical check-in and acts as liaison between staff and emergency services during medical alerts.
  • Maintains a key log for resident’s visitors/contractors room keys and maintains the contractor/vendor log book and badges.
  • Maintains guest quarter reservations and other resident informational records such as the address and phone list and “out of town” list.
  • Responsible for relaying any pertinent information to the daytime/evening/weekend Concierge on duty. Assists in typing as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Less than a high school education; three to six months’ related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to residents, visitors, vendors, and other employees of the organization.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS: Proficiency with Microsoft Office software (Word, Excel, Access, etc.). Familiar with telephone equipment and other various office equipment.

OTHER SKILLS AND ABILITIES: Must be able to work well and maintain a pleasant manner under pressure or with a high degree of interruption.

While performing the duties of this job, the employee is regularly required to sit, use hands to fingers, handle or feel, reach with hands and arms, and talk or hear. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus.
