Baleco International, Inc. a Haviland Company, a 100% Employee Owned, industrial chemical, plastics and pool and spa chemical manufacturing and distribution company, specializing in creative chemistry seeks a Customer Service Representative for our North Bend, OH facility reporting to the Office Manager. Required Education, Experience, Knowledge & Skills:

• High School Diploma or equivalent required, an Associate’s or Bachelor’s degree is preferred.
• Customer Service experience, 2-5 years of experience required.
• Knowledge of general accounting principles: credit/debits and monthly/consignment billing, is a plus.
• Ability to establish and maintain effective working relationships with subordinates, peers, customers, and management.
• Proficient with MS Office Suite and ERP systems. Chempax experience is a plus.
• Excellent verbal and written communication skills with superior teamwork and interpersonal skills.
• Strong organizational, prioritization, time-management, and multi-tasking skills.
• High commitment to safety, environment, quality, and customer satisfaction.
• Ability to exercise sound objective judgment in evaluating situations, problem solving analysis, and making decisions.
• Reads, writes and speaks the English language fluently.

Essential Job Duties & Responsibilities:

• Serve as the primary contact for assigned customer base and execute daily CS processes with focus on customer satisfaction.
• Strengthen customer relationships through phone contact and written correspondence, demonstrating diplomacy and professionalism.
• Execute the order entry process to ensure that all orders are entered timely and accurately, review all orders and customer confirmations for accuracy.
• Manages proactive customer engagement with strong communication related to expected service and follow-up, with inquiry and concern resolution.
• Adhere to established standards of service and follow-up with internal departments to ensure customer needs are met.
• Give pick tickets to the Traffic Department after the orders are released.
• Managing UPS/FedEx documents.
• Direct bill customers after all products are delivered.
• Order entry – day end invoicing customers and running day end reports.
• Running credit card transactions for customer accounts.
• Monthly/Consignment billing prior to month end closing.
• File orders and all other paperwork as needed.
• Process and issue payments, credit for returned containers, and issue credit/debit memos as needed.
• Coordinating employee needs with uniform issues.
• Serve the needs of internal customers by offering assistance and responding timely as requested.
• Act as an employee owner and an ambassador of Haviland when dealing both inside and outside of the Company.
• Maintain professional conduct and a courteous demeanor while protecting confidential information regarding customers, vendors, the company, and its employees.
• Be a role model by displaying self-motivation, conscientiousness, and leadership skills while maintaining flexibility when responding to situational needs and requirements.
• Build a professional relationship with all members of operations and address all questions and concerns daily.
• Be proactive in the development of a LEAN culture at Haviland, i.e., 5S, 8 wastes, continuous improvement, process focus, and discipline to standards.
