Job Summary:

The Enforcement Actions Administrative Assistant reports to the Director of Enforcement Actions. This position will play a vital role in providing administrative support and assisting in managing case files for the Enforcement Actions unit.

The Enforcement Actions Administrative Assistant will prepare all logistics for the Professional Practices Advisory Committee (PPAC) meetings and provide support with any other tasks that contribute to the overall goals of the Board.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

  • Establish and manage both physical and digital files for PPAC respondents/applicants
  • Record rulings made by the PPAC on all cases
  • Draft and disseminate correspondence to subjects of PPAC and meet monthly deadlines
  • Track timelines of open cases
  • Prepare reports outlining the various cases overseen by the Board and the PPAC
  • Collaborates and serves as a liaison for respondents/applicants, Local Education Agencies, the Investigative Unit, the Attorney General’s Office, and Law Enforcement agencies
  • Responsible for communicating with the aforementioned by phone, mail, and email on various PPAC matters
  • This includes requesting court records, police records, or other vital documents needed for hearings
  • Required to attend all PPAC hearings
  • Responsible for setting up meeting space for hearings, which includes member's workstations, preparing all documents needed for PPAC, testing and running audio and visual (AV) equipment such as microphones, recording devices, and virtual conferencing software
  • Responsible for organizing extensive legal documents and ensuring the redaction of sensitive information
  • In charge of keeping the PPAC calendar on the website current, and uploading agendas and other necessary documents
  • Will assist in creating and managing accounts for committee members to access the Board’s e-board solutions software, Simbli

Knowledge, Skills & Abilities (KSAs):

Knowledge:

  • Comprehensive knowledge and experience with the Arizona teacher certification application process
  • Experience as a law enforcement administrative assistant or similar work experience
  • Title 15 and the K-12 education system
  • State Board Administrative Rules and Title 41
  • Administrative Procedures Act
  • State Board of Education Policies and Procedures
  • Open Meeting Laws

Skills:

  • Excellent oral and written communication skills
  • Excellent legal case management and organizational skills
  • Critical and independent thinking; Interpersonal skills to provide excellent customer service and interact with outside agencies, educators, parents, school, district personnel, and other constituents
  • Highly proficient in general office equipment including fax/copy machines, running virtual meetings, and providing audio/visual support in board rooms
  • Advanced skill in word/data processing including in Microsoft Office Suite, Google Workspace, and Adobe Acrobat

Abilities:

  • Work in a highly confidential environment and exercise discretion on sensitive and/or confidential matters
  • Handle a high volume of phone calls, and possibly deal with difficult/upset constituents
  • Maintain accurate records, notes, and minutes

Selective Preference(s):

  • Preference will be given to candidates with previous experience as court records technician and/or law firm administrative assistant
