Company/Location Overview:
The Government Affairs Events Associate plays a vital role in supporting and coordinating events and activities at the Sazerac House working closely with the Government Affairs team to ensure successful execution of events that enhance the organization's relationships with government officials, policymakers, and key stakeholders. Must reside in the Washington, DC area.
Job Description/Responsibilities:
  • Manage the planning, coordination, and execution of government affairs events primarily at the Sazerac House DC as well as off-premise as needed. The associate will provide support during events, including coordination with fundraisers, caterers, meeting planners and stakeholders. Manage event logistics, contracts, catering and audiovisual arrangements/setup. Coordinate/communicate with event participants. Create communication/collateral pieces. Maintain accurate records. Assist in event budgeting. Oversee day-to-day SHDC operations. Assist w/charitable donations. Serve as liaison to accounting. Assist with contractors for upkeep of SHDC.
  • Collect feedback and evaluate event success metrics to identify areas for improvement. Coordinate contractors for SHDC improvement needs. Evaluate and elevate SHDC visitor quality.
  • Manage the invoicing system in coordination with SazeracPAC, making sure all remains 100 percent compliant. Maintain accurate event-related documentation, including inventory usage, participant lists, event summaries and expense reports. Generate reports on event outcomes as needed. Serve as liaison to Accounting Department for Department’s invoicing.
  • Oversee SHDC operations such as service appointments, mail sorting; maintenance of communal space; organization of storage spaces; coordinate contractors as needed.
  • Improve or create new communications/collateral pieces including event intake form and one-pager on rental/logistics/details. Assist with special projects such coordination of charitable donations.
  • Sazerac has systems unique to the company such as its Contact Management System; the Performance Development System; and the Career Development System. These systems are designed to help with communications; to help develop your individual career. It will be expected that you learn and participate in these systems.
Qualifications/Requirements:

MUST

  • Bachelors Degree or equivalent work experience
  • Ability and willingness to work non-traditional hours (nights when needed)
  • Strong ethical and professional integrity
  • Ability to project a professional image
  • Strong planning and organizational skills
  • Working knowledge of MS Office Products (Word, Excel and Outlook)
  • Ability to develop customer relationship
  • Ability to manage multiple projects at one time
  • Strong analytical, problem-solving, and decision-making skills.
  • Excellent communication, negotiation, and conflict resolution skills
  • Good time management skills and the ability to prioritize
  • Must reside in the Washington, DC area.


NICE TO HAVE

  • 1 year of Events or Hospitality industry experience and/or practical experience typically obtained through advanced professional position(s)


PHYSICAL REQUIREMENTS

  • In-person job attendance
  • Ability to work overtime if necessary
  • A valid driver's license
  • Ability to pick up and/or move objects up to 25 pounds without assistance
