This is an administrative role supporting the Executive Office. We are looking for someone who can and wants to excel in the role of an Executive Assistant. Important attributes for the ideal candidate include the ability to ensure effective and efficient time management skills; scheduling; expense management, the ability to exercise strong judgment while balancing multiple priorities; the ability to effectively communicate; the ability to thrive in a fast-paced environment with a busy schedule; and the ability to learn and work as a team player. A significant part of this job will be managing calendars and expenses. The Executive Office is often called into rapid response moments; this person needs to make sure that whatever gets dropped still moves forward, and whatever needed solving gets to the finish line.

What We're Looking For:

  • Someone who has strong mastery at the art of scheduling and interested in engaging in this core component of the job.
  • Someone who is detail-oriented, organized, and loves working through their to-do lists, including timely filing of expenses.
  • Strong communication skills in meetings, e-mails, and other written forms.
  • Confidence to manage tasks on their own and willingness to seek clarification when needed.
  • An ability to adapt to changing priorities and deadlines.
  • Proficiency in the Google Suite and Zoom.
  • Demonstrated creativity and initiative.
  • Discretion and discernment with sensitive information.
  • Strong time management and prioritization skills.
  • A team player who brings an optimistic and positive attitude who treats everyone with respect.
  • Ability and willingness to travel occasionally (3-8) times per year.
  • Dedicated to our mission of advancing criminal justice and immigration reforms.

Key Duties and Responsibilities:

  • Scheduling internal and external meetings both for daily and long term calendar management and coordinating with other schedulers
  • At times this role will need to support early morning, evening meetings and weekend meetings for members of the Executive Office
    • Meeting preparation and technical support
    • Agenda tracking and note taking
    • Document tracking
    • Travel and logistics support
  • Expenses, reimbursements, contract preparation and budget approval project management
  • Administrative support: coordination for technical needs, shared administrative responsibilities for organization-wide needs
  • Document Tracking, Correspondence and writing support
  • Event support
  • Other projects as assigned

The salary range for this role is $75,000-$110,000 annually, commensurate with relevant experience.
