Job Description

Geode Capital Management, LLC is seeking an Executive Assistant, you will play a crucial role in supporting our Chief Financial Officer, General Counsel, Chief Compliance Officer, and Chief Technology Officer. You’ll be a key partner to these leaders, ensuring smooth operations, effective communication, and efficient management of their schedules and tasks.

This is a hybrid work environment opportunity with a weekly in-office schedule of Tuesdays, Wednesdays, and Thursdays with remote work availability on Mondays and Fridays.

Responsibilities:
  • Hours: Standard coverage is 8:00am – 5:00pm with overtime over 40 hours
  • Calendar Management: Coordinate and manage complex schedules, including meetings and appointments
  • Communication: Serve as a liaison between executives, internal teams, and external stakeholders. Draft emails, memos, and other correspondence
  • Document Preparation: Assisting in DocuSign management, prepare reports using Excel, PowerPoint presentations, and documents for meetings and presentations
  • Finance and Legal Administration: Assist with setting up wire transfers and with registrations and filings
  • Board Meeting Preparation: Coordination of Board Meeting logistics such as calendar scheduling, catering, and travel accommodations
  • Event Planning: Assist in organizing company events, conferences, and team meetings
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality
  • Task Prioritization: Prioritize tasks and deadlines to ensure efficient workflow
  • Problem-Solving: Proactively identify and address challenges to support executive decision-making
  • Coverage: Backup to Receptionist or other EA’s when needed
Skills You Bring:
  • Experience: Minimum of 4 years of experience as an executive assistant or in a similar role
  • Education: College degree preferred
  • Organizational Skills: Exceptional organizational and time management abilities
  • Communication: Strong written and verbal communication skills
  • Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive)
  • Adaptability: Ability to thrive in a fast-paced environment and adapt to changing priorities
  • Professionalism: Maintain a professional demeanor and represent the company effectively
  • Attention to Detail: Meticulous attention to detail and accuracy
  • Problem-Solving: Resourceful problem-solving skills
  • Industry Experience: Financial industry and investment management knowledge is a plus
