This position will service two appointed Commissioners and is responsible for providing senior level administrative and confidential support. This person will prioritize workload, exercise independent judgment effectively and respond to work request from Commissioners in a timely manner. This position is eligible for hybrid work in coordination with the Commissioners’ needs and schedule.
Duties and responsibilities include, but are not limited to, the following:
- Manage the Commissioners’ calendars
- Schedule the Commissioners’ appointments, meetings and conferences in coordination with internal team members and external stakeholders
- Complete and submit weekly timesheets for the Commissioners as requested
- Make and monitor Commissioners’ travel arrangements and prepare travel and expense reports in compliance with the Commonwealth's guidelines
- Assist with the drafting and distribution of correspondence for the Commissioners
- Assist with individual Commissioners’ broad administrative needs, including filing, technological assistance, proofreading and photocopying, transmitting documents, and more.
- Screen telephone calls and email messages using judgment to determine priority and channel.
- Support/assist in the preparation and development of documents (Word), spreadsheets (Excel), and presentations (PowerPoint)
- Support the scheduling and execution of the Commission’s public meetings and hearings
Skills and Qualifications:
- Proven organizational and time-management skills with great attention to detail
- Capable of receiving and following through on multiple directives.
- Ability to effectively execute multiple tasks and projects in a fast-paced/dynamic office environment
- Ability to deal tactfully with others, establish appropriate rapport in all interactions, and manage matters that are confidential and/or time-sensitive
- Superior communication skills, both written and verbal; excellent grammar, spelling, punctuation, and editing skills
- Ability to work effectively with internal and external stakeholders and achieve results using a collaborative style
- Strong knowledge of Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Professional.
- Past experience in processing highly confidential information.
Experience, Education, and Training:
- 3-5 years administrative assistant experience
- Minimum A.S. degree or equivalent experience and/or certification
- Salary is commensurate with experience.
Responsible for implementing the expanded gaming law (Chapter 194 of the Acts of 2011). Under the law, the Commission is tasked with establishing a regulatory framework for the solicitation, licensing, taxation, and oversight of a maximum of three casino licenses and one slots parlor license in Massachusetts.
