This is a part-time support position assisting the information governance team, legal assistants, and paralegals with file maintenance tasks. The ideal candidate will be a current college student or recent graduate who seeks to gain experience in the legal and information governance profession.

Information Governance Manager


Overall Responsibilities
Primary duties will include, but are not limited, to the following:

  • File and document organization and maintenance, creation of new folders and maintenance of existing folders utilizing the firm’s records management system (FileTrail), preparation of working files for attorneys, organization of files for offsite storage, as well as, active file maintenance, including organization of attorney offices.
  • Request and retrieve material from file rooms, records area, and offsite storage. Create, print labels, and deliver new file items.
  • Assist information governance team with destruction review project
  • Identify opportunities for standardization of routine tasks including, but not limited to, new matter and file opening procedures, and suggest options/solutions
  • Overtime may be required on occasion
  • Other duties/tasks as assigned.

Required skills

  • Must have working knowledge of office/administrative procedures and an excellent command of the English language, both written and oral
  • Must have proficiency in operating a personal computer, copier/scanner telephone, voice mail, and other office equipment
  • Must have a working knowledge of a variety of computer software applications including word processing, spreadsheets, and databases.
  • Must have excellent communication and interpersonal skills
  • Work requires continual attention to detail in composing, typing, and proofing materials, establishing and managing priorities, and meeting deadlines.
  • Must have an understanding of records management principles/concepts, particularly in a legal or professional services environment.
  • Must be able to work independently, and as a member of a team, with limited supervision

Education and Experience Requirements

  • At least two years of experience in the above skill areas preferred
  • Prior law firm experience helpful; experience in the legal industry a plus
  • Familiarity with word processing, Microsoft Outlook, and other basic office technologies preferred
  • Prior experience utilizing records and information governance software such as FileTrail and NetDocuments, preferred
  • Accuracy in grammar, spelling, and punctuation
  • Effective oral communication skills including the ability to interact effectively with firm personnel at all levels with a high degree of professionalism
  • Ability to work independently and to sort multiple priorities

Mental/Physical/Environmental Requirements

  • Indoor offices with controlled temperatures with limited exposure to noise, dust, chemicals
  • Mobility within the office including movement from floor to floor
  • May sit for long periods of time
  • Crouching, kneeling standing, walking, pushing pulling, and lifting occasionally
  • Operating a personal computer, telephone, voicemail, and other office equipment on a regular basis
  • Must be able to express and exchange ideas by means of the spoken word
  • Must have the ability to convey detailed information in a clear and concise manner through spoken word
  • Must demonstrate good problem-solving skills
  • Duties must be performed in our physical offices. The position is not eligible for remote work.

Hours
Part-time; 20-29 hours per work
