PURPOSE: To help support the Finance Department, to ensure the timeliness and accuracy of the financial and accounting functions, and to help with audits.

ACCOUNTABILITY: To the mission and goals of Ecumenical Ministries of Oregon as determined by the Board of Directors, and as administered by the Executive Direct and their delegates.

REPORTS TO: Director of Finance

DIRECT REPORTS: None

LOCATION: EMO’s central office and other sites as needed. Some tasks can be accomplished remotely.

CLASSIFICATION: Non-exempt, 24 hours per week.

BENEFITS: Salary range starts at $20.94 per hour, with increase available for bookkeeping/accounting experience. All regular employees are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee training. Employees in exempt positions or non-exempt positions that are 20 hours per week or more, also receive medical, dental, disability and life insurance, per eligibility requirements.

MAJOR RESPONSIBILITIES

General Assistant Tasks:

1. Help meet the general administrative needs of the Finance Department, which can include setting up meetings between departments/programs and outside agencies.

2. Attend Finance Committee meetings and Endowment Committee meetings and take minutes.

3. Prepare documents for staff, auditors and/or grantors.

4. Maintain employee files – ensure that correct documents are included and filing as needed.

5. Coordinate with Director of Finance to maintain her calendar & messages.

6. Other duties as assigned, including organizational projects.

Insurance:

1. Invoice monthly member congregations.

2. Liaison with health insurance brokers.

3. Meet with new EMO staff to discuss health insurance options.

4. Answer questions concerning health insurance material.

Grants:

1. Maintain grant documents both electronically and physically.

2. Ensure that necessary financial reports are filed.

Accounting:

1. Maintain spreadsheets for audits, programs and other needs.

2. Assist in audits – pull material, scan/copy for auditor use, cleanup after completion.

3. Data entry in accounting software.

QUALIFICATIONS

Ability to work within the mission, vision and ethics of EMO, and maintain an understanding of the services provided by the programs and projects of EMO.

KNOWLEDGE: Intermediate knowledge of MS Excel spreadsheet software; Intermediate experience with Office 365 Suite; Basic understanding of finance, accounting or bookkeeping.

SKILLS: Extremely comfortable working with a variety of tasks and people; High-level organization and prioritization skills and ability to maintain a calm, professional demeanor; Meticulous.

EFFORT: Computer software experience; Knowledgeable of general office equipment; Work at a desk using a phone and computer up to eight hours a day; Ability to work in a team environment.

RESPONSIBILITY: Ability to work collaboratively and without close supervision.

WORKING CONDITIONS: Ability to work in a respectful manner with people of diverse ethnicity, socio-economic circumstances, religion, culture and sexual orientation; High tolerance for ambiguity and change.

PreferredQUALIFICATIONS

Experience with bookkeeping, accounting or finance.

Experience with MIP accounting software or other non-QuickBooks software.

Prior experience with government grants including audits.
