Job Description

O.A.S.I.S (Oral, Airway, and Sleep, Integrative Solutions) Wellness Center is seeking a front office administrator.

We are a new and unique dental practice that takes pride in taking care of the overall health of our patients.

The applicants must have excellent interpersonal skills as well as the ability to multi-task and demonstrate initiative in all facets of their position.

We are seeking a front office administrator who values their health and well being, and wants to be an intrical team member who values serving our patients amicably, compassionately, and efficiently.

The ideal candidate will be caring, outgoing and highly organized. They will be responsible for various administrative tasks performed in a manner that ensures efficient running of the dental practice.

These include but are not limited to:

-Performing general office duties, such as answering telephones, photocopying, and filing
-Greeting and welcoming patients to the practice.
-Strategic planning for effective scheduling
-Scheduling, rescheduling, or canceling appointments as needed and as directed.
-Assisting patients to fill out pertinent health information forms.
-Entering patient information into our software system
-Answering patients’ questions as directed
-Preparing patients’ charts and daily schedules for the staff, including meetings and seminars.
-Arranging appointment referrals to other providers.
-Updating patient records and documenting recent treatments and procedures.
-Scheduling follow-up appointments and providing telephonic reminders.
-Communicating with medical insurance providers as needed
-Preparing insurance documentations as needed for patients
-Processing of insurance and secondary insurance claims as needed
-Verifying methods of payment and collecting payments for services rendered
-Prepare billing and accounting statements
-Maintain the dental clinic’s budget, general ledger and accounting
-Maintain and monitor all financial records to ensure accuracy, completeness of data and compliance with HIPAA and other state and federal regulations
-Produce production and collection reports, as well as other reporting as needed
-Work with the dentist regarding finances in developing the annual budget, and design protocols that support analysis and achievement of budget projections
-Helping create any necessary clinical and administrative forms
-Create, establish and manage internal office protocols and procedures to ensure office efficiency
-Provide the Dentist with administrative and practical support when asked

Requirements:

High School Diploma
5+ years’ dental management experience preferred

Working knowledge of dental billing and insurance protocols

Excellent customer service and leadership skills

Ability to multi-task efficiently

Excellent computer and typing skills

Some accounting experience a plus

Certification in office administration, medical administration, or related fields is advantageous.

Proven experience working in a dental office, ideally a holistic practice.

Sound knowledge of dental terminology and procedure coding

Proficient in dental practice management software

Working knowledge of general administrative practices.

Good telephone etiquette.

Exceptional organizational skills.

Excellent customer service skills.

A self starter ready to learn the concepts and philosophy of our overall wellness center practices to be able to gather critical information from our patients before and after they enter the office.

Strategic thinker, with proven capacity to listen actively, and demonstrate exceptional initiative

Ability to engage in day-to-day operations

Ability to work on a team, or autonomously, to achieve goals

Shows a passion for and commitment to the clinic’s mission

Works well under pressure, showing the ability to maneuver through complex operational situations with a willingness to generate workable solutions
