Job Description

We are a dynamic group mental health practice with locations in Tucker and Dunwoody, GA. Our team consists of psychologists, therapists, and executive function coaches. We are dedicated to providing exceptional mental health services and are looking for a motivated and enthusiastic Front Office/ Intake Assistant to join our team.

Job Description: As the Front Office and Intake Assistant, you will be the face of our practice, responsible for creating a welcoming and efficient environment for our clients and providers. Your role is crucial in ensuring smooth day-to-day operations and providing excellent customer service.

Key Responsibilities:

  • Greet clients warmly as they arrive at the office.
  • Communicate effectively with clients and providers.
  • Schedule, cancel, and reschedule client appointments for multiple providers.
  • Verify insurance information.
  • Answer telephone calls, complete intakes for new clients, and follow up on email inquiries.
  • Reply to email requests from clients and providers.
  • Send and fax letters.
  • Check-in clients and collect copays.
  • Perform filing, take inventory, and handle other office duties.
  • Ensure accurate data entry and documentation of all referrals in the Electronic Medical Record (EMR) system.
  • Facilitate smooth transition between intake and clinical staff, ensuring that clinicians have all necessary information for their sessions.
  • Participate in team meetings, offering input on the intake process, identifying barriers to service, and recommending process improvements.

Qualifications:

  • High school diploma, Bachelors degree, or equivalent required; additional administrative training or certification preferred.
  • 2 to 3 years of experience in a healthcare office setting.
  • Proficiency in EMR systems and Microsoft Office Suite (Word, Excel).
  • Strong communication and interpersonal skills, with the ability to build rapport quickly with clients.
  • Excellent organizational skills and attention to detail.
  • Ability to handle confidential and sensitive information in compliance with HIPAA regulations.
  • Knowledge of mental health terminology, diagnostic criteria, and service eligibility requirements.
  • Ability to work in a fast-paced environment and manage multiple tasks efficiently.

Education:

  • Bachelor's degree in psychology or a related field, or administrative training or certification preferred. High School diploma required.

Work Environment:

  • Primarily office-based, working within a mental health clinic or agency.
  • Regular contact with individuals experiencing mental health crises or distress, requiring a calm and professional demeanor.
