Job Description

The Fulfillment Supervisor works with the fulfillment manager on all fulfillment requests for the facility including invoicing, tracking, route planning, and preparing products for sale.

  • Reviews daily LeafLink invoices – prints and assigns employees to fulfill daily orders.
  • Manages the status of LeafLink invoices. Ex: Submitted, Accepted, Fulfilled, Shipped.
  • Communicates with the Sales Team regarding any updates/changes of invoices.
  • Coordinates all delivery routes and any updates needing to occur.
  • Prepares all products for sale, including verification of labels/tamper seals for compliance, packaging, etc. in accordance with ABC regulations and in-house policies.
  • Tracks all information (UIN up to final stage of sell).
  • Tracks all UINs and Test Batch IDs (Steephill and F.A.S.T.)
  • Locates each Test Batch ID for all products going to each Dispensary. Downloading digital files and building each dispensaries file for final transaction email.
  • Updates LeafLink inventory as needed.
  • Moves digitally the UINs to appropriate ‘room’ within BioTrack THC (State’s tracking system).
  • Places all products for each dispensary within our staging area. Keeps all products organized and separated for each dispensary and the delivery team to accurately load on to the delivery vans.
  • Assists with the daily fulfillment spreadsheet that documents the products that are being delivered to each dispensary.
  • Creates the manifest within BioTrack/Metrc once all products are accounted for.
  • Coordinates all routes and riders for each day.
  • Provides accurate ETAs so we can be compliant with our product tracking details.
  • Begins the invoice stage after the manifest stage is completed.
  • Enters sell price for each individual product.
  • Voids product from manifest if any last-minute update has had to occur.
  • Makes sure our sales platform and state monitored tracking system are coinciding (LeafLink Invoice vs. BioTrack Invoice) once the invoice is complete. This ensures pricing is correct for our accounting team to help accurately keep up with their QBO.
  • Sends out final transaction emails for each dispensary with the BioTrack/Metrc manifest, invoice, COAs, ETA, and transaction total.
  • Keeps up to date with dispensary invoice contacts and includes them on all final transaction emails.
  • Coordinates maintenance of delivery vans as well as unexpected events on delivery routes.
  • Manages employee’s attendance, performance, and adherence to company standards, policies, and procedures.
  • Conducts employee reviews.
  • Provides coaching, support and corrective action as needed.
  • Must be able to obtain a state medical marijuana badge and pass a background check.
  • Must be able to communicate with GDF Team effectively and professionally.
