GENERAL SUMMARY/ OVERVIEW STATEMENT:

This position will report to a Sr. Administrative Manager and is responsible for supporting day-to-day financial and administrative activity related to the Neurology Department’s research portfolio. The Grant Coordinator works with Grant Administrators to develop and prepare grant applications and submissions, establish new research funds, provide monthly monitoring assistance of research funds, track budgetary performance, and submission of required reports for designated grants and contracts.

The Grant Coordinator works with Partners in Research Management as well as Neurology faculty and other department staff members to ensure a quality-based, customer-oriented work environment.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Grant Applications and Management:
    • Will work with grants administrators to coordinate all aspects of grant submissions under tight deadlines: collection and coordination of internal documents from PIs/GAs, record creation and upload of application materials into Insight, ensure proposal compliance with Hospital and grantor policies and procedures, as well as those of subcontracting institutions.
    • Compiles JIT documents, IRB, IACUC, and Other Support pages while closely working with grants administrators.
    • Assists with written correspondence for grant applications, renewals, modifications, carryforward requests, and other research-related communication.
    • Develop primary working relationships with grants administrators, investigators, research management, and external administrators.
    • Working with Principal Investigators to develop all different types of research grant submissions for new, continuing, and competing applications; budget forecasting; ongoing monitoring of fund statements; resolution of accounting problems/errors; and functioning as liaison to federal and non-federal grantor agencies and subcontracting institutions. Maintain timely coordination and communication with involved parties regarding grants management issues. Serves as liaison between the services and internal and external groups to manage programs and funds. Participates in all aspects of grants management, research grants and human resource management.
    • Working with Principal Investigators and their support staff to coordinate all aspects of grants submission; prepares budgets and budget justification; ensures proposal compliance with Hospital and grantor policies and procedures, as well as those of subcontracting institutions.
    • Monitor grants and funds monthly; advise accounting and reporting issues as necessary; prepares budget-versus-actual status reports for use by Grant Administrator & Principal Investigators and facilitates implementation of grant awards by obtaining fund numbers, activating salary assignments to grants, and other associated tasks.
    • Ensure that grant submission, implementation, and reporting comply with all policies of the Hospital, granting institutions and subcontracting agencies; functions as resource person in clarification of policies; and works with Grant Administrator & Principal Investigators to achieve compliance.
    • Review appropriateness of transactions and budget reallocations against funding source guidelines. Work with Research Finance to resolve complex accounting issues.
    • Develop collaborative working relationships with ancillary services such as, Research Management, CTO, Innovations, Partners Human Research Committee, Accounts Payable, Purchasing, Human Resources, Partners International Office, etc.
    • Attend monthly MGH RADG and Department of Neurology Research Administrator meetings to keep current with federal (NIH in particular), state and other sponsor requirements, timelines, and policy issues.
    • Financial responsibilities: Under the supervision of GAs, will review monthly expenses on related funds in department research portfolio, monitors contract billing and receivables; coordinates deposits and electronic transfers; monitors expenses including tracking, reconciliation and compliance with sponsor guidelines, cost transfers to/from funds. Troubleshoots outstanding payments.
    • In coordination with Research Finance, oversee contract billing and receivables.
    • Responsible for the interpretation and articulation of institutional and sponsor policies and procedures to ensure compliance.
    • Responsible for proactively keeping departments apprised of changes in policies and regulations of federal and non-federal grantor agencies.
    • Initiate and process reimbursements, purchase requisitions, and check requests for assigned grants/contracts. Coordinate with appropriate research staff on supplies spending for assigned grants/contracts.
    • Monthly projections for active funds. Work closely with PIs to make sure the funds are monitored accordingly and help to coordinate the work and the spending accordingly.
    • In coordination with RM work on RPPR and JIT process.
    • Review and help PIs on the requested documents at the post award phase.
    • Help with the Back Door Agreements and work closely with internal team throughout the process from initiating an insight record to a new fund number.
  • Requisitions:
    • Prepares, enters, tracks purchase orders.
    • Process new job openings in the applicant tracking system (Taleo>Workday)
  • Other:
    • Review, authorize, track invoicing done by Partners Research Finance office.
    • Create, send, track department invoices for research studies.
    • Process PeopleSoft purchase orders / employee reimbursement review, authorization and tracking / ECheck payments.
    • All other duties as assigned. Self-training and development, seminars, meetings, etc.

EDUCATION: Bachelor’s degree in Business or equivalent.


EXPERIENCE:

  • Demonstrated research administration experience with pre and post award emphasis.
  • Working knowledge of NIH and other federal, state and foundation regulations and requirements.
