BRIEF POSTING DESCRIPTION:

The E 4C CONTROLLERS OFFICE Department of the E CONTROLLERS OFFICE Division at Hawaiian Electric Industries has 1 Management vacancy available. (Role: NON-EXEMPT)


JOB FUNCTION:

Provides secretarial, administrative and accounting support to the HEI Controller’s Office and other financial areas within HEI.


ESSENTIAL FUNCTIONS:

  • Provides administrative and accounting support to the Controller’s Office and other financial areas within HEI and its subsidiaries, including but not limited to, maintaining confidential files and records such as SEC, FRB and PUC reports; importing SEC filing exhibits; maintaining SOX control acknowledgements; processing invoices and deposits; filing electronic reports and statements; drafting, issuing and tracking debt compliance notices and Officer’s certificates; onboarding new vendors; managing cash receipts; validating checks; cash transfers; managing the HEICF register; determining monthly accruals and budgeting annual ICB non-labor charges; managing the Controller’s calendar, scheduling meetings, timekeeping and travel arrangements; and other related administrative and accounting support tasks as required.
  • Responsible for the coordination of various meetings (e.g., Disclosure Meetings and Audit Committee Meetings) to include, but not limited to, scheduling; preparing, consolidating and distributing materials; creating surveys and reporting results; setting up and breaking down meetings; arranging refreshments.
  • Serves as the administrator for the company’s credit card platform, as well as managing credit cards and users, making payments and verifying coding and approvals are received timely.

BASIC QUALIFICATIONS:

Knowledge Requirements

  • Bachelor’s or Associate’s degree preferred.
  • Working knowledge of general office procedures and practices.
  • Working knowledge of personal computers and related software applications (i.e., Excel, Word, Powerpoint, Outlook, etc.).
  • Working knowledge of the principles of accounting.

  • Excellent oral and written skills to effectively communicate with all levels of the organization, including subsidiaries and external parties.
  • Demonstrated interpersonal skills to work with various groups or individuals.
  • Ability to work independently and remain flexible in a demanding work environment and adapt to rapidly changing priorities.

  • Ability to handle highly confidential and sensitive information discreetly and professionally.
  • Analytical skills and the ability to conceptualize new ideas and moderately complex technical matters quickly.
  • Detail oriented, strong organizational skills and the ability to multitask.
  • Ability to type proficiently using various office equipment such as typewriters, computers, etc. and provide professional level administrative services to members of the department.
  • Ability to handle difficult and/or sensitive issues while using tact, courtesy and discretion.
  • Ability to learn accounting programs quickly and become proficient.
  • Flexibility to work overtime hours during peak periods, including after hours, weekends and holidays.

Experience Requirements

  • Several years (3-5) general office experience, of which a minimum of two (2) years will have been at the secretarial and/or administrative assistant level, or its equivalent.
  • Few (2-3) years working in an accounting department highly desired, preferably for a large publicly-traded company or similar type of organization.

Hiring Range: The hiring range for the HEI - Administrative Assistant - Oahu [Req ID 9240] position is $60,300.00 to $75,500.00. The person selected will be placed according to his/her skills and qualifications.
