Overview:
The Mail Distribution Specialist II is responsible for organizing and distributing mail among departments within the organization. Duties include receiving mail from various sources (USPS, UPS, FedEx, courier, etc.), sorting mail by departments and distributing mail items to each department AND preparing outgoing mail items for pick-up by carrier and/or delivery to post office. In addition, this position will make daily trips to the post office to pick up incoming mail from all post office boxes and will make inside and outside pick-ups and deliveries.
Responsibilities:
  • Receive and sort incoming mail and move to pre-designated locations in preparation for delivery to recipients.
  • Following daily schedule, deliver mail to internal departments.
  • Sort outgoing courier mail by specific destination. Load sorted outbound mail into courier bags and prepare for pick-up.
  • Utilizing vendor specific on-line shipping portals, label and prepare shipments for daily pick up.
  • Utilize automated postage meters to ensure mail pieces are correctly posted based on weight and class for scheduled daily delivery to the post office.
  • Assist with pick up of incoming caller box mail and lockbox mail at the post office and delivery to internal departments for processing.
  • Assist with outside mail pickup and delivery as necessary.
  • Operate company vehicles for pick up and delivery as required.
  • On a daily, pre-determined, time critical schedule, pick up caller box mail at post office and remove mail from all assigned lockboxes at post office and distribute to receiving departments.
  • Responsible for audit and organization of all post office box keys.
  • Prepare all certified mail and deliver to the post office.
  • On pre-determined schedule, make deliveries to customers outside of the bank.
  • Operate company vehicles for pickup and delivery as necessary.

Qualifications:
  • High school education or equivalent.
  • Two years mail room experience
  • Team player
  • Time management skills.
  • Basic computer knowledge.
  • Ability to work flexible hours.
  • Valid driver’s license (MVR required)
  • Ability to prioritize workload
  • Good customer service skills
  • General computer knowledge
  • Operate postage machines
  • Prepare certified mail
  • Understanding of mailroom processes and procedures
  • Use vendor websites to prepare shipping labels when needed
  • Prior mailroom experience Preferred
  • UPS/FedEx/USPS experience Preferred
  • Experience making outside deliveries and pick-ups Preferred
