Job Description

Location: Kent Campus Hospital

Status: Full Time 80 Hours

Shift: Days

General Summary:

The Medical Office Manager is a member of the Bayhealth Medical Group (BHMG) management team responsible for administrative oversight of the medical practice, including support staff, financial/productivity issues, operational issues, regulatory requirements and patient and provider relations. The Medical Office Manager is responsible for the overall smooth running of one (1) primary or specialty practice site of 4 or more providers. The Medical Office Manager is charged with ensuring the delivery of high-quality health care in a manner that is both cost efficient and meets all regulatory agency requirements. Activities include the planning, direction and coordination of the delivery model within one assigned Bayhealth Medical Group (BHMG) Practice.

Responsibilities:

1. Oversees all aspects of the day-to day operations of the medical practice to ensure compliance with regulatory oversight and Bayhealth Medical Group policies and procedures.
2. Directs and supervises personnel in the day-to-day practice operations to improve productivity and customer service for efficient, quality healthcare. This includes establishing work schedules, practice assignments for staff, recruitment, staff deployment, employee relations, performance appraisals and monitoring time/attendance.
3. Responsible for knowing or learning the role of each position in a physician office.
4. Maintains and implements new office policies relating to the changing healthcare industry. Evaluates and maintains all professional standards and regulatory policies and procedures for the practice to ensure regulatory and legal compliance for all areas of responsibility.
5. Monitors patient/employee relations and patient/employee satisfaction activities using periodic patient/employee surveys. Develops and implements action plans to increase employee engagement and improve patient satisfaction while demonstrating the ability to use tact and diplomacy when deal with patient complaints and employee relations issues.
6. Prepares and monitors budget for the single site. Generates reports to monitor data related to key performance indicators such as visit numbers, no show rates, provider specific activity.
7. Closely monitors systems between the front desk/reception, providers and clinical support staff to ensure that office flow is efficient and effective.
8. Holds regularly scheduled meetings with providers and staff to review progress in meeting goals.
9. Maintains confidentiality and security rules when providing information to internal and external sources.
10. Attends meetings, develops weekly/monthly/yearly reports, composes meeting minutes, and delivers presentations/reports to physicians, staff and other departments. Maintains open communication lines with physicians, providers and staff.
11. Interacts and cooperates with BHMG administration and departments to provide integrated patient care services and further the mission of BHMG. This includes but is not limited to collaborating with Medical Staff, coordinating facility set-up, maintenance, & equipment/supplies, collaborating with Information Services for electronic medical records (EMR), and working with Finance to set budgets, manage productivity & develop various financial reports.
12. Oversees quality initiatives for practices as defined by CMS and compliance as defined by Joint Commission.
13. All other duties as assigned within the scope and range of job responsibilities


Required Education, Credential(s) and Experience:

  • Education: Associate Degree Business; Or Associate Degree in related field of study. In lieu of an Associated Degree, three (3) additional years of experience in a physician/medical office; to include coding & billing knowledge. Previous work with medical insurance carriers.
  • Credential(s): None Required
  • Experience: Required: Four (4) years' experience in a medically related field with a minimum of 2 managing/supervising a medically related organization or business unit.


Preferred Education, Credential(s) and Experience:

  • Education: Bachelor Degree Business
  • Credential(s): Fellow of the American College of Healthcare Executives
  • Experience: Preferred: Three (3) to 5 years managing a large physician practice.
