POSITION SUMMARY: Performs administrative and clerical functions to assigned departments.

ESSENTIAL FUNCTIONS:

 Maintains HIPAA standards and regards all medical or healthcare information pertaining to residents and employees as confidential.

 Organize and maintain facility medical records in compliance with facility, corporate, State and Federal regulations.

 Ensure all physician orders are signed timely, according to State and Federal guidelines.

 Maintain an organized system of medical records storage, which ensures accessibility by authorized professionals.

 Obtain interdisciplinary and physician signatures on resident discharge documents.

 Closure and arrangement of charts after discharge in an order that ensures retrieval in a timely manner.

 Copy and release information to persons and agencies in compliance with company, State and HIPPA regulations.

 Set up blank medical records in preparation for admissions.

 File reports, lab and x-ray results, consultant notes, etc. on records as directed.

 Thin medical records and arrange overflow documents in discharge chart order.

 Maintain adequate supplies of medical forms.

 Coordinate death records, according to State regulations.

 Record, maintain, and distribute minutes of meetings as directed.

 Maintain an organized system of supply storage.

 Receive and stock supplies as shipments occur.

 Maintain a par level on all essential supplies.

 Order supply from approved suppliers as needed.

 Ensure all supplies removed from storage are charged to appropriate accounts and departments.

 Code all supply invoices with correct General Ledger codes weekly.

 Participates in and attends all required in-service training and education programs as scheduled.

 Other duties as assigned.

Physical Demands, Work Environment, and Expected Hours of Work: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

 This position is very active and requires frequent standing, walking, bending, kneeling, stooping and climbing.

 This position will be required to lift or carry weight up to 50 lbs. and ability to push up to 250 pounds independently.

 The individual must use proper body mechanics to assist residents in their daily living.

 This position regularly requires long hours and frequent night and weekend work.

TRAVEL: No travel is expected, although occasional travel may be required for training sessions, continuing education opportunities, emergency situations, and other company functions.

EDUCATION AND EXPERIENCE REQUIREMENTS:

 Bachelor’s degree preferred; significant work experience can substitute for degree.

 At least 1 year experience in Health Information Management, with certificate in HIM preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

 Ability to read, write, speak and understand English fluently.

 Ability to meet or exceed the company’s attendance and punctuality standards.

 Ability to use Electronic Records and miscellaneous software and office equipment.

 Ability to understand and follow directions as given.

 Ability to work with minimal supervision.
