Job Description

Affinity Psychological Services is a rapidly-growing mental health group private practice providing therapy, psychiatric medications, and testing services throughout Minnesota.

We are seeking a detail-oriented, persuasive, independent, responsive, emotionally-attuned, responsible, warm, high energy, optimistic person to join us as our new Intake Coordinator!

This position serves and supports BOTH the clinicians and the clients, as you connect the client's needs with our clinicians' preferences.

Intake Coordinator Job Duties and Responsibilities:

  • Take full responsibility for managing and responding to all client contacts via phone, email, text, or fax.
  • Solicit information from clients in order to understand the variables most important to creating a great fit between the client and a particular therapist.
  • Schedule new client intake appointments, including setting up client charts and sending appropriate paperwork.
  • Update, track, and provide feedback on all scheduling metrics.
  • Stay current on knowledge of clinical staff, specialties, locations, and availability
  • Monitor website and EHR for any issues impacting scheduling, and proactively take steps to resolve them.
  • Use knowledge of client requests and clinician preferences to update and suggest marketing efforts to meet both client and clinician needs.
  • Complete other ongoing administrative tasks, as assigned (eg. records requests, paperwork updates, faxes, letters, etc.)
  • Coordinate with administrative team to ensure smooth operations across the company.
  • Participate in all team meetings, clinician meetings, trainings, etc. as requested or required.
  • Step in, and step up, to take on any task that's needed or requested to provide support to the administrative and clinical teams.

  • Be a warm, approachable, and knowledgeable voice of the practice in all internal and external communications.
  • Utilize digital and electronic software for all office tasks.
  • Look for, and implement, opportunities for improvements in effectiveness and efficiency whenever possible.

Possible Job Duties (we believe in tailoring jobs to people's strengths, so as long as you're adding value, almost none of these are deal-breakers):

  • Document/Spreadsheet Creation: letters, illustrations, infographics for staff or clients, info sheets
  • Referral management: create and maintain referral database and nurture relationships with referral partners
  • Admin back-up for other roles (as-needed, when members of our team are away or swamped)
  • Projects: as-needed projects as assigned by Founder

Pay: From $16.00 per hour
