Office Administrator

LOCATION: Port Angeles, WA

WAGE RANGE and BENEFITS: $25.96-34.93 DOE

Paid holidays, sick and annual leave, health insurance, and retirement.

HOURS:

1/2 time, with the opportunity for 3/4 time for the ideal candidate. 4-5 days a week, approximately 22-32 hours a week.

Background:

Clallam Conservation District is a political subdivision of State government. The District was established in 1959 to assist the residents of Clallam County with conservation of natural resources. The Conservation District works closely with the USDA Natural Resources Conservation Service, and the Washington State Conservation Commission.

Clallam Conservation District Mission: Clallam Conservation District promotes protection, sustainability, and enhancement of natural resources by providing information, technical expertise, and financial assistance, when possible, for natural resource challenges to all people in Clallam County.

GENERAL JOB DESCRIPTION: The Office Administrator plays a key role to help maintain and coordinate general administrative functions and supports district financial operations. The Office Administrator works under the supervision of the District Manager. This position requires working in our physical office during regular business hours, and attendance at a once-a-month late afternoon Board meeting. Some weekend work for outreach events may be required.

The ideal candidate is:

  • Proficient in office programs such as the Microsoft Office Suite, Outlook & Adobe, and skilled in Microsoft Excel.
  • Highly organized and able to plan, prioritize, and manage multiple tasks under minimal supervision.
  • Knowledgeable in accounting procedures, including accounts receivable and payable.
  • Willing to assist staff and District Manager with administrative aspects of project organization.
  • Able to communicate effectively, excellent customer service skills, and contributes to a positive work environment.

MINIMUM QUALIFICATIONS

Applicant must demonstrate the ability to perform the essential job functions listed below. A minimum of a 2-year degree is required in business administration, accounting, office management or a related field. Two years’ experience involving the job functions listed below may be substituted for one year of education.

ESSENTIAL JOB FUNCTIONS:

Financial

  • Prepare and track accounts payable and receivable for Bookkeeper, including banking deposits and processing payments.
  • Organize, and prepare, treasurer’s reports, board documents, policies and procedures.
  • Process monthly grant vouchers and billing
  • Management of contract documents.
  • Prepare financial reports and summaries.

Administrative

  • Coordinate, set up and take minutes for open public meetings, including monthly Board meetings.
  • Assist and supervise District Elections.
  • Maintain inventory of District assets.
  • Coordinate maintenance and updates of all office equipment and supplies (e.g., printer/copier, computers, phones, internet, software).
  • Assist with coordination and processing of bi-monthly soil tests and annual plant sale.
  • Update District financial and administrative procedures and checklists.
  • Assist with policy development and updates and stay current on applicable WAC’s and RCW’s.
  • Assist and coordinate human resources including new employee orientation and benefits management.
  • Maintain filing system for District administrative and grant documents.
  • Support Public Records Officer including conducting records searches, organization of documents, public records rotation and retention schedules.
  • Answer main District emails and in-office phone calls.
  • Update the website weekly with current events and board documents. Maintain vehicle maintenance schedules.

NOTE: This position requires primarily office work located at 228 W First St., Suite H, Port Angeles WA 98362. This is not a remote position. Position requires you to be in office during regular business hours which fall between the hours of 9:00AM to 4:00 PM. The exact schedule will be determined with the District Manager. Office duties include use of computer equipment, audio visual aids, and occasional transport and assembly of display material. The applicant must possess or obtain a valid Washington drivers license and have reliable transportation.

This position is for a 1/2 or 3/4 time position dependent on skill set. Work hours may vary depending on workload and needs of the district. Typical Office Administrator hours will be Monday through Thursday 9:00AM-4:00PM. This position is eligible for benefits, annual leave and sick leave hours, holiday pay and retirement benefits and our Family Savings Account program.
