Job Description

Overview
Compression & Mastectomy Solutions is seeking a highly organized and detail-oriented Office Coordinator to join our team. The Office Coordinator will be responsible for ensuring the smooth operation of our office, managing day-to-day administrative tasks, and supporting our team in delivering high-quality durable medical equipment to our clients.

The ideal candidate will be proactive, efficient, and capable of multitasking in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Answer phone calls and manage other incoming communication via email or fax
  • Manage incoming and outgoing mail and packages
  • Greet clients upon arrival and provide any necessary intake paperwork
  • Obtain accurate demographic information
  • Verify benefits and confirm coverage for any specific services we will be providing including quantity allowed, billing history and prior authorization requirements
  • Provide excellent customer service by responding to inquiries and addressing client concerns
  • Maintain office supplies inventory
  • Assist with scheduling appointments, meetings, and managing calendars
  • Prepare and maintain accurate records, reports, and documentation
  • Ensure office is clean, organized and properly stocked
  • Assist with basic accounting tasks such as invoicing, providing estimates and collecting payments
  • Properly manage patient records by scanning

Qualifications

Education: Associate's or Bachelor's degree in Business Administration or related field preferred.

Experience: Minimum of 2 years of experience in an administrative or office coordinator role in a healthcare setting

Skills: excellent organizational and time-management skills; strong written and verbal communication skills; ability to handle sensitive information with discretion and professionalism; strong customer service orientation and problem-solving abilities

Working Conditions:

Environment: office setting with standard office equipment

Hours: full-time; Monday-Friday 8:00 a.m. - 5:00 p.m.

Physical Requirements: ability to lift up to 20 pounds; prolonged sitting at a desk and working on a computer
