GENERAL DESCRIPTION
:

The Department of Family Services (DFS) is seeking an Administrative Assistant to join a team that is passionate about serving Wyoming children and families. This position will ensure that services and support are provided to children and families in a timely, legal, and efficient manner by coordinating the operations of the Support Services Division.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Makes all necessary travel arrangements and handles all travel reimbursements for the Division.
  • Covers front desk duties one day a week.
  • Fiscal Duties.
  • Supervises office support staff in the district.
  • Creates, submits, and tracks fiscal documentation for the Support Services Unit including expense vouchers and invoice payments.
  • Coordinate a variety of advanced, diversified, and confidential administrative support functions.
  • Provides input into Division budget setting.
  • Coordinates all contested case and administrative hearing requests for the Agency.
  • Coordinates a variety of advanced, diversified, and confidential administrative support functions.
  • Purchases and distributes all office supplies for the Support Services Division.
  • Uses the WOLFS Accounting System to process travel reimbursement and pay for Division expenses.
  • Reviews and edits Department documents for content, grammar, spelling, and format consistency.
  • Assists with the coordination of Agency training.
  • Prepares minutes for Board meetings and leadership meetings.
  • Assists with special projects within the Division.
  • Assists with fingerprint/background, central registry, and sex offender registry checks.

Qualifications



PREFERENCES:

Preference may be given to applicants who are detail-oriented, multitask capable, organized, able to prioritize and meet or exceed deadlines.
Preference may be given to applicants who have excellent communication skills, both verbal and written.
Preference may be given to applicants who have the ability to work independently and maintain the confidentiality required.
Preference may be given to applicants who possess outstanding customer service and interpersonal skills.
Preference may be given to applicants who have proofreading and editing experience.

KNOWLEDGE:


  • Ability to use computers, copiers, scanners, and phones.
  • Knowledge and experience in applicable computer applications- Microsoft Office Suite, Google Suite.
  • Knowledge of records processing and maintenance procedures and systems.
  • Knowledge and strength in the preparation and interpretation of complicated legal documents.
  • Strength in customer service and communication skills.
  • Strong leadership skills and knowledge of protocols that involve interaction with the Governor's Office and Legislature as well as other high-ranking officials.
  • Ability to type accurately.

MINIMUM QUALIFICATIONS:

Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS:


  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Special physical demands are not required to perform the work.

  • FLSA: Non-Exempt
  • All positions within the Department of Family Services will require a background check, INCLUDING the taking of fingerprints, which will be completed through the Wyoming Department of Criminal Investigation, the Department of Family Services Central Registry, and the Federal Bureau of Investigation, for every successful applicant.
