Job Summary
:

The Open Records Assistant will efficiently and effectively process and respond to public information requests. The Open Records Assistant will ensure that the organization maintains compliance with TPIA requests.


Major Responsibilities / Duties / Critical Tasks:

  • Receive and log TPIA requests submitted via various channels, including email, webpage portal (GovQa), and mail.
  • Analyze each request to determine its scope and applicability under the TPIA.
  • Identify relevant information within our organization and collaborate with internal departments to locate and gather requested materials.
  • Conduct thorough research to locate and gather documents across various departments and systems.
  • Analyze documents for potential exemptions under TPIA and consult with legal counsel as needed.
  • Prepare and draft clear, concise, and legally sound responses to requesters within established deadlines.
  • Maintain accurate records and detailed records for all TPIA requests and responses.
  • Stay updated on any changes or interpretations of the TPIA and relevant legal precedents.
  • Provide excellent customer service to requesters, addressing their questions and concerns promptly and professionally.
  • Assist with other tasks as assigned.

Accompanying Knowledge, Skills, Abilities and Competencies:

  • Strong understanding of the Texas Public Information Act and its exemptions.
  • Excellent research and analytical skills.
  • Proven ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy are essential.
Qualifications


Required Education / Experience:

  • Bachelor's degree.
  • Two (2) years of experience working in public information or records management.
  • Understanding of Texas Public Information Act (TPIA) is preferred.
  • A combination of education and experience may be considered.
