Job Summary:
The Operations Associate will be responsible for a wide range of administrative and operational tasks to support the smooth running of the company. This role involves coordinating meetings, managing safety awards, handling client communication, and providing essential administrative support for various company functions. The Associate possesses strong communication and customer service skills, ensuring effective interaction with clients and the ability to address their needs promptly and professionally. The Operations Associate is detail-oriented, organized, proactive, and able to handle multiple tasks efficiently.

Key Responsibilities:

  • Perform a wide range of administrative tasks, including answering phone calls, managing correspondence, scheduling appointments, and maintaining office, kitchenette, and training supplies.
  • Manages office mail, print items, embroidery, vendors, and marketing supplies.
  • Organize, maintain, and audit files, records, and documents. Ensure proper filing systems are in place and information is easily accessible.
  • Act as a liaison between staff members and external stakeholders. Facilitate effective communication by responding to inquiries, forwarding messages, and providing relevant information as needed.
  • Accurately enter and update data in various systems and databases, such as I-Auditor, Salesforce, etc. Prepare reports, presentations, and spreadsheets as requested, ensuring accuracy and timely delivery.
  • Oversee general office maintenance, including coordinating repairs and maintenance services, managing office equipment and supplies, and ensuring a clean and organized workspace.
  • Provide administrative support to various departments/regions as required. Assist with coordination of meetings, events, and projects. Collaborate with team members to ensure smooth workflow and efficient operations.
  • Manages safety equipment, maintains calendar, and ensures good working order.
  • Assist with setting up company meetings, hotel reservations, conference room reservations, and company meals.
  • Manages annual client safety award program.
  • Manages company auditing software, such as registering new users and sites, updating templates and RAC codes, and running reports.
  • Provides onsite tech support for quarterly webinars as needed.
  • Handle sensitive information with the utmost confidentiality and discretion. Adhere to privacy guidelines and maintain data security protocols.

Required Skills/Abilities:

  • Basic business process knowledge of Sales, Marketing, and Customer Service.
  • Excellent verbal and written communication skills, with the ability to engage effectively with clients, potential clients, and team members.
  • Excellent analytical, research, editing, and organizational skills, with high attention to detail.
  • Able to handle time-sensitive requests from team members and to generate quality work products in a fast-paced environment.
  • Excel at being flexible, adapting to change, and working as a team.
  • Effectively leverage industry tools, including but not limited to Salesforce, Advanced Microsoft Office Suite, and HubSpot, to market and expand the company's client database and to interact with clients and/or potential clients.


Education and Experience:


  • High School diploma or equivalent (Associate degree or higher preferred).
  • Experience in an administrative role, preferably in a busy office setting.

Salary

$58,000 - $64,000 per year
