Optical/Medical Assistant General Description


The Optical/Medical Assistant responsibilities include a wide range of duties assisting in our eye care and nursing departments. In the eye care department, the Optical/Medical Assistant will use optical equipment to perform the initial testing needed to prepare a patient for an exam with an optometrist. In the nursing department, the Optical/Medical Assistant will assist with nursing duties, such as checking patients in, keeping providers on schedule. This position may also serve as backup to other departments as needed. This position will require OSHA training and will be subject to blood and other bodily fluids. In accordance with HIPAA regulations, this position requires full access to Protected Health Information (PHI). Such disclosure is necessary to perform the requirements of the job. Confidentiality of PHI must be maintained.

Optical/Medical Assistant Essential Duties

  • Attentive to patient and provider needs, actively participate in keeping providers on schedule.
  • Work collaboratively with the clinical team to promote continuity of patient care.
  • Help schedule appointments/referrals/admissions for patients outside the clinic.
  • Float from team to team or task to task as needed.
  • Prepares exam room and rooms patient.
  • Ensures examination rooms are fully stocked, cleaned, organized, etc.
  • Performs other duties as assigned.

Eye Care Specific Essential Duties

  • Checks patients in & out for appointments.
  • Inputs patient insurance information; updates/changes as necessary. Complete Good Faith Estimates.
  • Understands insurance and be able to accurately communicate with patients regarding their vision coverage.
  • Takes acuities and completes other preliminary exam testing.
  • Demonstrates working knowledge of eye anatomy, diseases, symptoms and ocular medications.
  • Assesses eyeglass desires and purchasing plans.
  • Troubleshoots and helps with customer optical concerns relating to frames, lenses & measurements.
  • Instructs patients on contact lens insertion, removal, care techniques, and replacement schedules.
  • Cleans all examination equipment.
  • Assists with optical inventory .

Nursing Specific Essential Duties

  • Check patients in for appointments; specifically, obtain from each patient, blood pressure, height, weight, temperature, pulse, O2 saturation, etc.
  • Complete forms and perform related tasks for several various appointment types.
  • Perform elephant ear washes, Snellen’s, audiograms; strep throat swabs, rapid flu swabs, etc.
  • Assist with medication/immunization injections as needed in accordance with protocol.
  • Prepare patient for procedures and ensure that all the appropriate instructions and equipment are arranged and ready.
  • May, with appropriate training, assist providers with procedures.
  • Ensure appropriate orders/forms are completed upon provider request.
  • Send EHR messages as delegated by Team Nurse.

Skills Required

  • Ability to establish and maintain effective working relationships with staff, patients, and the public.
  • Knowledge of HIPAA privacy rules and regulations.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to manage multiple tasks, work under pressure, and to prioritize tasks to provide appropriate, efficient and quality patient care.
  • Excellent customer service skills and ability to effectively and respectfully handle dissatisfied patients and coworkers.
  • Ability to work independently and use good judgment.

Education and Experience

  • High school diploma;
  • 1 year experience in a Medical or Optical environment (not required but is beneficial);
  • Computer and typing skills;
  • Knowledge of patient education principals;
  • Must have and maintain CPR certification;
  • Social and cultural sensitivity appropriate to ethnically and economically diverse patient and employee-base.
