Position Overview

The Order Management Analyst is an expert in laboratory order entry and issue resolution management tools and systems and is an active thought partner who ensures appropriate use of technology in revenue and order management operations. This role acts as an intermediary between cross-functional partners such as IT, Finance, Patient Access, Patient Financial Services, and vendors to collect, clarify, and translate business requirements into documentation and conceptual design by using appropriate tools and models.

The Order Management Analyst performs a wide range of quantitative and qualitative analyses to help inform department decisions and strategy. This position will work closely with leadership to develop, analyze, and report key operational measures, develop target performance measures, and plans to achieve those measures. This position will develop, manage, and undertake departmental documentation and standard operating procedures (SOPs) and maintain a centralized storage of documentation. This position provides primary support to the Order Management Team and will focus on all order management processes but will have extra focus on pre-shipment processes and tools. The position will also work closely with order entry and automation vendors.     

Essential Duties

include but are not limited to the following:

  • Leads and supports various projects that require independent judgement on process, approach, and methodology in providing deliverables that inform department decisions and strategy.
  • Works with vendors to enhance processes, answer questions, track roster and progress of initiatives.
  • Collaborates with department leadership and various stakeholders to improve automation of processes.
  • Collects, clarifies, and translates business requirements into documentation and conceptual design by using appropriate tools and models.
  • Collaborates cross-functionally on workflows that impact Order Management, such as optimization projects, new product launches, and provides continued support for current products.
  • Proactively makes process efficiency and effectiveness recommendations and serves as a mentor to others on the team and vendors by answering   questions and providing problem solving guidance.
  • Initiates and completes complex analysis and audit in applicable systems and processes, especially in pre-shipment processes and work queues.
  • Maintains and updates the order management centralized storage for documentation, and FAQ’s to ensure Associates have all the tools they need to provide our patients with a seamless, world class experience.
  • Researches, plans, and implements innovative solutions to technical challenges facing the Order Management Team in collaboration with other departments when appropriate.
  • Partners with leadership to identify opportunities for training content improvement. 
  •  Acts as a subject matter expert in order entry and order issue resolution for the Order Management Team to enhance products and processes.
  • Collaborate with the IT team to recommend optimization of automation and workflows.
  • Creates and presents training materials, as needed, for process changes and knowledge base management.
  • Documents information according to the SOPs.
  • Recommends changes to workflows to ensure efficiency and accuracy with all revenue cycle functions to fuel analytical reporting.
  • Effective verbal and written English communication skills.
  • Ability to interact and build strong working relationships with customers, vendors, and peers, at all levels of the organization.
  • Ability to work in a team environment and adapt to changing workload and circumstances effectively; able to respond to new information quickly.

  • Ability to travel 5% of working time away from work location, may include overnight/weekend travel.

Minimum Qualifications

  • Bachelor’s degree in Business Administration or Education; or High School Degree/General Education Diploma and 4 years of relevant experience in lieu of Bachelor’s degree.
  • 6+ years of experience working in a customer focused, financial services, data entry, or order management role requiring attention to detail.
  • 2+ years of experience in process improvement, system administration, automation, vendor management, leadership, order management or resolution or technical writing.
  • Proficiency with computer skills including Microsoft Word, Excel, and Power Point, Internet navigation, Email usage, and other software programs.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • Previous work experience with corporate training documentation.
  • Previous work experience with project management, process improvement, or operational workflow implementations.
  • Previous work experience with automation or vendor relations .
  • Previous work experience in healthcare.

Salary Range:

$60,000.00 - $97,000.00

 

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible, and is eligible to receive company stock upon hire as well as annually.
