The Administrative Assistant’s main responsibilities will revolve around the programs administered by the Academy. Although supervised by the Senior Program Coordinator, the successful candidate will be in large part responsible for the development, implementation and maintenance of the different tasks related to the Academy programs, especially the LL.M. in International Human Rights.
The Administrative Assistant must possess excellent command of oral and written Spanish. This position will also provide administrative support to the LLM Program Coordinator as well as the two Co-Directors of the Academy. Additional duties will correspond with the Academy’s Summer Programs, including the Summer Program of Advance Studies on Human Rights and Humanitarian Law, the Interamerican Moot Court and other initiatives.
Essential Functions:
  • Design and manage online resources, including social media accounts.
  • Create and update program materials, including online materials.
  • Communicate between program participants and managerial staff.
  • Respond to emails and answer calls.
  • Maintain office calendars and send out reminders of impending appointments.
  • Proofread and make copies of various documents.
  • Attending staff meetings.
  • Type letters and reports as may be required from time to time.
  • Compile and send bulk mail and email.
  • Assisting in scheduling, planning and overseeing significant program events.
  • Act as a liaison between different departments.
  • Reserve equipment and equipment and conference rooms for presentations and in-office meetings.

Salary Range:
  • $25/hour, commensurate with experience.
Required Education and Experience:
  • Bachelor’s Degree required.
Preferred Education and Experience:
  • Two years of experience in administrative and/or secretarial experience.
  • Excellent command of oral and written communication in English and Spanish.
  • Demonstrated interpersonal, organizational skills and high attention to detail.
Preferred Education and Experience:
  • Experience using and/or developing with some, if not all, of the following applications: Adobe Connect, Canvas, Web Conferencing tools, and HTML.
  • Ability to learn new software applications quickly.
  • Familiarity with synchronous and asynchronous learning.
  • Ability to work well with diverse constituencies.
  • Flexibility and proactive approach to problem-solving.
  • Strong attention to detail and demonstrated excellence working in a fast-paced environment.
  • Ability to multi-task and juggle many projects at once.
  • Ability to work independently as well as a team member.
