Job Overview
The Payroll Specialist will handle and support payroll actions for multiple states while coordinating with the accounting, payroll and HR Teams on HRIS processes. The role requires a high-level attention to detail, ensuring accurate and timely payroll processing while providing exceptional support to our employees regarding payroll-related inquiries.

As a payroll point-of-contact, this position facilitates both quarterly and yearly tax matters, including filings, internal correspondence, and external correspondence with third parties, ensuring compliance with all applicable laws and regulations at both a federal and state level.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Administer and execute the biweekly payroll processing for all employees across multiple states, ensuring accuracy and timeliness
  • Generate and distribute payroll reports, including earnings, deductions, taxes, and other reports as required by senior leadership and Federal/ State requirements on a recurring basis
  • Serve as a key point of contact for payroll-related inquiries, resolving issues and discrepancies promptly and professionally
  • Prepare and submit payroll tax filings, including quarterly and annual returns, ensuring timely payment of payroll taxes
  • Maintain accurate payroll records, including employee information, time and attendance data, payroll transactions, and data changes
  • Responsible for system build and framework. Both for general processes as well as annual events (i.e. Open Enrollment, Annual Review)
  • Identify data needs and opportunities to streamline or automate. Provide documentation, communication and implement
  • Assist with payroll, 401k and workers compensation audits
  • Ensure appropriate employee FLSA compliance and correct employee status
  • Support the facilitation of the registration of the business into new states for withholding and unemployment taxes as the business expands
  • Process verifications of employment, ensuring timeliness of completion
  • Ensure payroll procedures comply with federal, state, and local regulations. Keep up to date with changes in payroll laws and regulations
  • Ensure compliance with policies, processes, and practices.
  • Perform other duties and responsibilities as assigned

EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree in Human Resources, Business, Finance or related field, or equivalent combination of related experience with High School/GED
  • Minimum of 3-5years’ experience in payroll processing for a multi-state organization
  • In-depth knowledge of payroll principles, tax laws, practice and procedures
  • Familiarity with payroll software systems, experience with UKG highly preferred
