Personnel Security Assistant

***This job is hybrid remote, with some office days required and some work from home.

***This position requires an ACTIVE T4 Favorably Adjudicated Background Investigation conducted in the last 5 years.

Primary responsibilities/Job summary:

Information Discovery Services LLC, (IDS) is currently seeking a Personnel Security Assistant.

The Personnel Security Assistant is responsible for daily intake and onboarding of designated individuals by the U.S. Dept of HHS.

Essential Functions:

1. Serve as first Point of Contact for applicants and Subjects

2. Conduct intake/onboarding for all candidates and subjects that agency submits

3. Administer the HSPD-12 processing elements

4. Conduct federal database searches in NBIS/CVS/ DISS/ NP2/Lexis Nexis

5. Review all eAPP applications and intake documents

6. Initiate investigations for suitability and security clearances

7. Prepare letters of notification for Interim and Reciprocity clearances

8. Maintain Applicant Tracking System and agency database electronic files

9. Conduct audits of case tracking systems when necessary

10. Complete other duties and projects as assigned

Standards

1. All customer timeliness and performance standards are met in the personnel security process

2. Ability to adjust to surges in workload

3. Be able to work independently in a remote situation and keep up with workload timelines and expectations

Competencies

Education – Minimum 2 years experience performing administrative support in personnel security functions and knowledge of the Federal Personnel Security Policies and procedures to include: US Code of Federal Regulations for the BI process, DoD’s Adjudicative guidelines, Knowledge of HSPD – 12 requirements and all pertinent Executive Orders

Administrative – Demonstrated ability to prioritize and manage multiple assignments and multiple processes

Computer Skills – Experienced user of MS Office (Outlook, WORD, EXCEL, TEAMS ) and comfortable accessing government databases

Interpersonal –Must be able to communicate effectively with agency employees, agency customers, and public sources or providers from various backgrounds

Organizational – Organization skills are critical, must be able to manage a large case load and document progress of each case while maintaining defined timeliness parameters

Analytical – Excellent writing and computer competency skills. Ability to anticipate and solve problems

Communication – Ability to communicate effectively both verbally and in writing. Ability to listen and follow through on requests. Exceptional telephone etiquette and professionalism

Physical Requirements – Ability to sit, stand or walk for extended periods of time.
