Overview:
We are seeking a highly organized and customer-focused Receptionist to join our team. The ideal candidate will provide exceptional administrative support, maintain a professional front desk, and contribute to the smooth operation of our office. This role is perfect for someone who enjoys interacting with people, has a knack for administrative tasks, and is comfortable working in a fast-paced environment.
Responsibilities:
- Greet visitors and clients, handle phone calls, and respond to emails in a timely and professional manner.
- Manage the front desk and maintain a clean and organized reception area.
- Provide administrative support, including data entry, document preparation, and filing.
- Assist with scheduling appointments and managing calendars through QuickBooks.
- Offer exceptional customer service and support to clients and visitors.
- Maintain confidentiality and handle sensitive information with discretion.
- Assist the office manager with various administrative tasks, such as office supply management and mailroom duties.
- Develop and maintain an organized filing system to ensure that all documents are easily accessible.
Qualifications:
-Proficiency in invoicing and billing commercial projects using AIA forms.
-Being familiar with plumbing terminology is preferred.
- High school diploma or equivalent required.
- 1+ years of experience in an administrative or customer support role.
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Proficiency in QuickBooks and Microsoft Office.
-Ability to use Apple products.
- Ability to maintain a professional and welcoming front desk environment.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to handle confidential information.
- Experience in an office management setting is preferred.
