Company Summary

The Aum Foundation USA, Inc. (Aum Foundation) is a nonprofit organization that eliminates barriers and empowers high school juniors, seniors, and first-year college females to become successful community members. The Aum Foundation takes a holistic approach to supporting our future female leaders through our enrichment programs. We seek a highly organized and detail-oriented program/administrative assistant to keep our office running smoothly and efficiently. This is an excellent opportunity to assist our staff with diverse projects and provide general administrative support. The Program Assistant position is a part-time opening that requires in-person meetings and attendance at fundraising events. Must be able to work events and meetings on evening and weekends, though these are scheduled in advance with plenty of notice and respect for our staff's schedules.

Soft Skill Requirements:

Administrative Responsibilities

  • Proven experience as an administrative assistant or relevant position
  • Detail-oriented and efficient
  • Excellent time-management and organizational skills
  • Outstanding verbal and written communication skills
  • Provide administrative support to ensure efficient operation of the office.
  • Organize and maintain files and databases confidentially.
  • Receive invoices and review them for accuracy.
  • Schedule and organize meetings/events and maintain multiple agendas.
  • Maintain supplies and inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Complete operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Coordinate staff travel arrangements, including transportation and accommodation.

Program Responsibilities

  • Support planning and coordination of the program manager’s activities
  • Coordinate Volunteers
  • Coordinate Job Shadowing Opportunities
  • Help build positive relationships within the team and external parties.
  • Ensure technology is used correctly for all operations (virtual classes, presentations, etc.)
  • Keep an up-to-date record of all Student and Mentor requirements.
  • Maintain records and reports of program activity.
  • Prepare paperwork and order class materials.
  • Support growth and program development
  • Collect timely feedback after each experience.
  • Effectively multi-task a variety of projects simultaneously
  • Manage time efficiently by establishing priorities.
  • Engage in Business Development and fundraising efforts.
  • Attend events, classes, programs, and meetings as necessary.
  • Represent the Organization at events as needed

Basic Qualifications

  • Associates Degree required (Bachelors Preferred)
  • Administrative experience
  • Requires proficiency with Microsoft Suite; Outlook, Word, Excel, PowerPoint;
  • Detail oriented and organized
  • Demonstrated excellent written and oral communication skills
  • Ability to work Independently.
  • Must have the ability to engage with others in a highly collaborative environment
  • Must be able to work one Sunday a month (approximately 6 hours)

Desired Qualifications

  • Prior experience with a nonprofit not required, but a plus
  • Ability to multi-task
  • Excellent organizational skills.
  • Excellent computer literacy skills
  • Fundraising experience
  • A passion for the Mission of Aum Foundation

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.

Pay: $15.00 - $20.00 per hour
