Job Description

We are offering a long-term contract employment opportunity for a Receptionist in the High Tech - Pharm/Biotech industry, based in Waltham, Massachusetts. This role primarily involves essential office functions, interacting with visitors, and assisting with various administrative tasks.

Responsibilities:
• Greet and manage visitors, ensuring they are properly signed in and directed to the appropriate location.
• Operate a multi-line phone system, answering calls and directing them to the appropriate party.
• Schedule appointments and manage conference room bookings.
• Assist with the organization of files and data entry tasks.
• Support with the ordering and setting up of catered lunches as required.
• Restock kitchens and fridges each morning.
• Handle email correspondence efficiently and professionally.
• Use Microsoft Excel, Microsoft Word, and Microsoft Outlook for various administrative tasks.
• Assist with additional office administrative tasks as needed.• Proficiency in using Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Experience in answering multi-line phone systems
• Strong customer service skills
• Ability to perform data entry tasks effectively and accurately
• Excellent email correspondence skills
• Strong interpersonal skills with team members and clients
• Proven ability in organizing files and maintaining a systematic filing system
• Experience in scheduling appointments and managing calendars
• Previous experience in a receptionist role within the high tech, pharm/biotech industry would be advantageous
• Adaptability to a fast-paced, high tech environment
• Attention to detail and high level of accuracy in all work
• Excellent verbal and written communication skills
• Ability to manage and prioritize multiple tasks simultaneously
• Ability to maintain confidentiality and handle sensitive information with discretion
• Ability to work independently and as part of a team.
