Job Title: Sales Coordinator & HubSpot Specialist

Job Description:

We are looking for a highly organized and experienced Sales Coordinator and HubSpot Specialist to join our growing team. This role will be crucial in driving the success of our sales operations by coordinating daily activities, supporting the Sales Director, and ensuring the sales team is set up for success. If you thrive in a fast-paced environment and have at least 5 years of Advanced HubSpot CRM experience, this opportunity is for you.

In this role, you will oversee lead qualification, calendar management, and daily sales reporting while also providing critical support in pipeline management, competitor analysis, and sales performance tracking.

Key Responsibilities:

Coordination with Operations, Marketing, and Fulfillment:

  • Coordinate closely with Operations, Marketing, and Fulfillment teams to ensure salespeople are fully equipped to succeed.
  • Act as a liaison between departments to ensure alignment with sales objectives and a smooth flow of information.

Calendar Management and Appointment Qualification:

  • Manage the sales calendar, ensuring all appointments are properly scheduled and attributed (inbound, outbound, setter, or marketing source).
  • Approve and grade applications 3x daily (morning, midday, and evening), including weekends.
  • Cancel unqualified appointments and delegate tasks as necessary.
  • Send On-The-Fence (OTF) emails to borderline applicants for further review.
  • Submit daily calendar reports and communicate KPIs to marketing and setters via chat.

Lead Qualification and Follow-up Support:

  • Make outbound calls to qualify leads on the calendar and ensure the sales team engages with high-quality prospects.
  • Assist closers with follow-up activities, managing ongoing client communications to ensure potential deals move forward.

Sales Pipeline and Presentation Support:

  • Monitor and manage the sales pipeline, ensuring deals move efficiently through each stage and flagging high-priority opportunities.
  • Help prepare and update sales presentations, client proposals, and pitch decks for key meetings.

Competitor and Market Analysis:

  • Track and analyze competitor activities and market trends, providing insights to help the Sales Director refine strategies.
  • Conduct market research to identify new opportunities and inform sales strategies.

Paid Traffic and Sales Reporting:

  • Manually pull paid traffic data from platforms like Business Manager, Clickfunnels, ActiveCampaign, ScheduleOnce, Typeform, and submit daily reports on performance.
  • Collect and report outbound sales data from CRM and call software daily, ensuring team members are aware of key metrics.
  • Track and analyze KPIs, ensuring the sales team is meeting its daily and weekly targets.

HubSpot CRM Management and Data Accuracy:

  • Oversee HubSpot CRM management, ensuring all client information, deal stages, and sales activity are kept up-to-date and accurate.
  • Monitor CRM usage to ensure the sales team is consistently entering data and following procedures.

Sales Team Performance Tracking:

  • Track individual sales performance, providing the Sales Director with insights into team strengths and areas for improvement.
  • Assist in designing incentive programs or competitions to motivate the sales team and recognize top performers.

EOD/BOD and Admin Tasks:

  • Ensure all salespeople complete their End-of-Day (EOD) tasks and are prepared with Beginning-of-Day (BOD) check-ins.
  • Track daily sales activities to ensure the sales team stays on target and follows through with administrative tasks.

Client Onboarding and Account Support:

  • Assist with the onboarding of new clients, coordinating the transition from sales to fulfillment and ensuring a smooth handover.
  • Help manage existing accounts, identifying opportunities for upselling products and services.

Sales Tool Optimization and Process Improvement:

  • Identify bottlenecks in the sales process and recommend improvements to increase efficiency.
  • Support the integration and optimization of new sales tools and CRM features, ensuring the sales team has the tools they need to succeed.

Sales Forecasting and Budget Support:

  • Assist the Sales Director with sales forecasting and help track expected revenue against quarterly and annual targets.
  • Support budget management, ensuring the sales department stays within budget and tracking expenses.

Training and Development Support:

  • Assist in organizing and coordinating training sessions and workshops to help the sales team stay up-to-date on best practices and industry trends.
  • Help onboard new sales hires, ensuring they are fully trained on sales processes and CRM tools.

Qualifications:

  • 5+ years of experience with HubSpot CRM (mandatory).
  • Proven experience in sales coordination or a similar role, with a strong focus on calendar management and sales reporting.
  • Experience in making outbound calls to qualify leads and managing follow-up activities.
  • Excellent organizational and multitasking skills with the ability to handle multiple responsibilities daily, including weekends.
  • Strong communication skills for collaborating with various teams and supporting the sales department.
  • Experience with paid traffic reporting and analyzing sales data from platforms like Clickfunnels, ActiveCampaign, and more.
  • Proficiency in Excel, Google Sheets, and other reporting tools for tracking sales performance.
  • Ability to analyze market trends and competitor data to provide actionable insights.

Compensation:

  • Salary: $35,000 - $42,000 annually, based on experience.
  • Full-time position with flexibility to manage appointments and tasks Monday through Sunday, including morning, midday, and evening shifts.
  • In-person position with flexibility to work from home on Fridays
