In addition to the duties of the Scheduling Coordinator II, this role is also responsible for advanced level of scheduling of patients, including coordination of multiple, complex appointments, and resolution of patient-related issues. Position requires utilization of clinical knowledge to schedule appropriate procedures per providers’ orders. Communicates effectively and promotes teamwork.

The Scheduling Coordinator III shall be responsible for:

  • Scheduling complex appointments. Responding to patients’ concerns and needs. Entering appropriate information in hospital IT systems and coordinating care with interpreter services, when necessary. Having in-depth knowledge of at least one area/modality and acting as a resource for that area/modality. Assisting the Team Lead and/or Supervisor as needed.
  • Collecting, verifying, recording, and processing patient demographics, insurance/payment, and referral information required for patient appointments in accordance with HIPAA approved procedures. Entering the correct CPT codes to describe examinations and ICD-9/10 codes to facilitate the authorization process. Running reports as needed. Trying to resolve any issues that arise and knowing when to escalate to Team Lead.
  • Screening patients for potential contraindications for examination and/or location according to area needs, escalating questions and issues appropriately. Accurately filling out paper and/or electronic screening forms, when necessary. Updating screening/scheduling information, when necessary. Assisting Scheduling Coordinators I and II with difficult situations that arise.
  • Answering, screening, and routing telephone calls in a courteous and respectful manner following departmental guidelines. Recording and forwarding messages and triaging calls for urgent information or services. Responding to requests for routine information or assistance within the scope of knowledge and authority.
  • Creating registration and performing check-in for patients in EPIC. Performing the responsibilities of the receptionist in the modality, assuring that patients are greeted in a timely manner and monitoring the activities in the waiting room.
  • Working with others to promote and encourage each person’s contribution to the interdisciplinary team toward achieving optimal patient goals and outcomes. Providing exceptional care, exceptional service.
  • Being able to work independently without direct supervision. Providing support to levels I & II. Training others and acting as a resource.

Schedule: 100% onsite, Waltham

To qualify, you must have:

  • High School Diploma/ GED
  • 2 years of healthcare administration experience
  • Analytical skills and judgment to interpret data and take appropriate action in circumstances and situations that vary. Contributes to a supportive team environment within and between other departments and organizations.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Strong attention to detail, commitment to excellence, strong planning and organizational skills, using time efficiently, and prioritizing and coordinating tasks appropriately.
